The School of Pharmacy has an outstanding opportunity for two Managers of Experiential Education Operations to join their team.** **POSITION PURPOSE

In collaboration with the Experiential Education (EE) team, this position is responsible for managing operations for practice-based learning experiences of the PharmD curriculum, introducing patient-centered and operational on-site EE opportunities to students. This position manages operations for EE placements, including primary management of onboarding, scheduling, placement of experiences, and tracking completion of student assignments This position schedules and coordinates student placements with rotation sites, supervised by preceptors; advises students on academic progress matters and EE opportunities, policies, and procedures; troubleshoots emergent issues involving students and preceptors; leads the learning environment and site quality program; and manages relationships between the School and clinical training sites. Additional responsibilities include monitoring and reporting on student completion of objectives and competencies and additional responsibilities as assigned by the EE administrative lead. This position reports to the Director of Operations for EE, a unit within the Office of Professional Pharmacy Education (OPPE).
**DUTIES AND RESPONSIBILITIES** Operations Management (70%)
• Manage operations for EE placements, including primary management of onboarding, scheduling, placement of experiences, and tracking completion of student assignments
• Manage student records related to experiential learners, including monitoring preparation and completion. Monitor student progress; follow up with students who are not making satisfactory progress or are experiencing other issues. Coordinate with EE team, and triage and report as needed
• Manage the process of onboarding and compliance for incoming students and students completing experiences at affiliate practice sites
• Monitor all relevant requirements including prerequisite records, including immunization status, first aid/CPR certification, submission of forms, and attendance at required orientations, including scheduling trainings.
• Develop and manage compliance and onboarding timelines
• Use CastleBranch, CORE, and CPNW with full functionality to maintain information on students, sites, and preceptors and to generate relevant reports and coordinate student?account creation, monitoring, maintenance, archiving, and deletion.
• Manage process of developing, maintaining, and updating Affiliation Agreements and Memoranda of Understanding, working with experiential site representatives and the Attorney General's UW office as needed.
• Suggest and assist with revising policies and procedures related to practice experiences in collaboration with the EE team and the Assistant Dean for Professional Affairs and Practice
• Craft and deliver timely and engaging communications for students, preceptors, and site administrators. Handle initial communications from students and preceptors, managing or triaging as needed.
• Assist with operational leadership for EE. Identify areas for improvement in EE, and make recommendations for changes in operations
• Assist with updating course policies, competencies, and other documents related to pharmacy practice experiences
• Work with EE team to identify outstanding practice preceptors for award recognition. Participate in the annual review of practice sites and preceptors for quality assurance, identify areas where attention is needed, and ensure appropriate follow-up is completed
Student, Preceptor and Site Support (30%)
• Monitor student progress in EE and collaborate in developing EE Completion schedules for students who experience program delays during the program in consultation with the EE team and Academic Affairs
• Assist with orienting students on EE through class presentations, one-on-one meetings, and written communication of technical aspects of EE operations
• Serve as back-up with recruiting new preceptors and orient them to practice experiences
• Advise and triage students and preceptors on assignment requirements and completion, and on issues arising during site practice experiences; troubleshoot and report issues as needed
• Communicate with the EE Team, Director of Student Affairs, Mental Health Liaison and Counselor, and appropriate stakeholders regarding time-sensitive and/or challenging situations involving students who need support
• Serve as back-up for representing the School & EE on regular visits to experiential sites
• Other duties as assigned
MINIMUM REQUIREMENTS
• Bachelor's degree in education, humanities, human resources, social work, social sciences, life science, business, communications, or a related field and two years of experience with program operations and/or project management.
_Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._ **ADDITIONAL REQUIREMENTS**
• Strong communication abilities and demonstrated experience with internal and external stakeholders
• Demonstrated ability to work well in teams and as a team facilitator
• Demonstrated ability to think critically when approaching complex problems
• Strong organizational skills and the ability to multitask across a variety of projects in a fast-paced environment
• Technical proficiency in Microsoft Office suite of tools (especially Excel, Outlook, PowerPoint, and Word)
• Demonstrated ability to manage, interpret, and process large volumes of complex data within a limited timeframe (e.g., extract relevant data points from lengthy email threads, filter and sort data contained in spreadsheets, etc.)
• Demonstrated ability to interpret complex policies and apply them to individual situations
DESIRED QUALIFICATIONS
• Previous experience in a healthcare or higher education setting
• Understanding of experiential education, particularly in pharmacy education or other health professions
• Experience with student advising in higher education or professional school setting?
• Familiarity with student information systems used for tracking and managing sensitive data
• Experience with UW SDB, Canvas, SharePoint, CORE ELMS, Salesforce, and any CRM software
