This is a temporary position.
The Sales Coordinator provides dedicated support on intermediary and entertainment sales accounts. The primary responsibility of this position is to execute complete lead management of RFPs using Marriott’s technology and other Marriott information systems. Performs inventory search and supports customers’ needs acting as a liaison for the Global Sales Organization and our hotels. Provides support to their assigned sales team with various revenue-generating tasks including assistance in closing on group business, addressing customer requests, facilitation of account production accuracy, reporting, and consistently executing Sales Support processes. Customer service skills are essential in this role as the position requires contact with both internal/external customers.
CANDIDATE PROFILE
Education and Experience
_Required_
• High school diploma or GED; 3 years’ experience in Sales and Marketing, Guest Services, Front Desk, or related professional area.
OR
• 2-year degree from an accredited university in Business Administration, Marketing, Hotel and Restaurant Management or related major; 1 year experience in related professional area.
_Preferred_
+ Experience in hospitality industry.
+ Experience in SFAWeb CI/TY, CVENT and other eRFP systems
• Experience in working with large group business.
• Proficient in Microsoft Office
• Remote West Coast or West Coast Hours
CORE WORK ACTIVITIES
• Schedule appointments, meetings, travel arrangements for department personnel; evaluating alternatives and making decisions regarding pricing and logistical issues.
• Research questions and problems regarding departmental or administrative policies, procedures, information, or services, including questions, which are complex in nature. Gathers data from multiple sources and analyzes information as appropriate.
• Reconciles departmental expense accounts as reflected on the distribution summary or operating statement; identifies discrepancies and prepares variance analyses to explain comparisons to last year's results or the current year budget. May assist in the development and forecasting of budget items.
• Processes data through an automated administrative system, such as expense reports, accounts payable, payroll and personnel data. Performs research and follow-up necessary to solve problems encountered.
• Works with leaders on assessing needs for team meetings and offsites.
• Orders supplies, as well as processes orders for hardware and software
• Handles account tracking and quarterly GSO custom reporting.
RFP Processes
• Monitor lead mailbox to ensure all group opportunities are sent to Data Entry or built in SFAWeb and sent to property/Sales Office in timely manner.
• Adhere to all Data Entry protocols to expedite lead entry and to increase efficiencies (timely forwarding of RFPs, fully completed lead entry forms, maintenance of Data Entry OneNote folder, manage activities etc.).
• Monitor lead entry accuracy as noted above for customer opportunities.
• Ensure all appropriate properties (MARSHA codes) are included for all opportunities.
• Establish and maintain complete and up-to-date lead response information in SFAWeb/CI/TY and alternate information systems including Intermediary Account field, commission percentage, multi-year coding, etc. to ensure accurate account production and reporting.
• Understand GSO (Group End-User and Intermediary) accounts and ensure no opportunities are missed if created directly by property/Sales Office
• Manage lead tracking with intense focus to guarantee the return of requested hotel response information to the customer on or before the due date.
• Ensure all account information is up to date and accurate i.e., Account, Address, Contact information, IATA number, merge account/contract duplication.
• Maintain open communication with Sales associates, properties, MHS Offices, and markets as needed regarding lead status.
• Complete the Manual Adjustment process with all supporting back-up clearly stated within process due dates and alert appropriate Sales associates when ready to review.
Systems
• Maintain proficiency with customers’ sourcing tools such as Cvent, GroupSync, HopSkip, Hubli, etc. and any proprietary tools to better maximize Marriott's GSO group RFP process.
• Maintain proficiency with all MI computer systems utilized by GSO team (ex: MS Office365, SFA CI/TY, Tableau, Empower)
Support
• Develop relationships, build trust, and assist with resolving issues as needed with top clients and internal stakeholders (via phone and email)
• Compose and update response grids and customer communications whenever necessary.
• Provide coverage for Sales associates when needed, including assisting with customer needs, lead entry, and any additional duties as requested.
• Complete other projects, reports, and program coordination as assigned. Assist with additional office coverage whenever necessary.
• Send communication to the field/hotels on behalf of Sales associates
• Manage customer favor requests.
• Assist with customer facing presentations.
• Work with manager on scheduling visits, preparing for sales calls, and event management as needed.
• Adherence to established PTO process so that fluent transfer of active leads/tasks can be assumed without difficulty or confusion by colleagues and to ensure Sales associates, hotel sales partners, and customers experience a seamless transition of covering Sales Coordinator who is out of the office.
Reports
• Generate and organize sales reports utilizing internal data systems (e.g., SFAWeb|CI/TY, Tableau) and RFP systems (Cvent, HopSkip, etc.) for auditing purposes.
• Work with coordinator team to develop and deliver monthly and Ad hoc reports.
• Generates and provides accurate and timely results in the form of reports, presentations, etc.
• Generate Dashboard Report for manager bi-weekly / monthly.
• Generate other reports as requested.
The pay range for this position is $22.01 to $38.65 per hour.
**Washington Applicants Only:** Employees will accrue 0.0334 PTO balance for every hour worked and eligible to receive minimum of 9 holidays annually.
