Description
Robert Half is seeking a detail-oriented and highly organized Document Control Specialist to oversee the management, tracking, and protection of company documents and records. This role involves ensuring accuracy, compliance, and accessibility for key documents related to the organization’s processes and operations. The ideal candidate will possess excellent organizational skills, proficiency in document management systems, and a desire to contribute to efficient workflows.
Key Responsibilities
+ Develop, implement, and maintain document control processes and systems for efficient handling of confidential documents.
+ Ensure all records are accurately cataloged, stored, and archived according to company policies and regulatory requirements.
+ Maintain document repositories and databases, ensuring easy access for authorized personnel.
+ Review and update documentation for accuracy, completeness, and compliance with standards before submission or storage.
+ Manage the lifecycle of documents, including revisions, approvals, and distributions.
+ Collaborate with cross-functional teams to meet document control requirements for projects or audits.
+ Conduct periodic audits to ensure document accuracy and resolve discrepancies.
+ Develop clear and comprehensive workflows for document control processes, along with training manuals or guides.
+ Process requests for documentation from internal and external sources in a timely manner.
+ Address and resolve document-related issues while maintaining confidentiality and quality standards.
Requirements
+ 2+ years of experience in document management or control, recordkeeping, or a related field.
+ Strong proficiency in document management software and Microsoft Office Suite (Word, Excel, Outlook).
+ Excellent organizational and time-management skills with high attention to detail.
+ Strong understanding of document control standards and regulations specific to industry or company.
+ Ability to work in a fast-paced environment and meet tight deadlines.
+ High level of discretion and professionalism when managing sensitive information.
+ High school diploma or equivalent required; additional certifications in document control or record management are a plus.
+ Effective interpersonal skills and ability to collaborate across multiple teams.
