    Are you a detail-oriented professional with a passion for organizing, maintaining, and securing critical information? Our client, a well-established nonprofit organization, is seeking a Document Control Specialist to ensure the integrity and accuracy of their document management processes. This is an exciting opportunity to contribute to a mission-driven organization while bringing expertise in document control systems and protocols to the table.

    Key Responsibilities

    + Develop, implement, and manage the organization's document control systems to ensure accurate and secure record-keeping of critical files.

    + Organize, archive, and maintain physical and electronic documents in compliance with document retention policies and regulatory requirements.

    + Coordinate with staff to ensure necessary accessibility to documents while maintaining strict confidentiality and security protocols.

    + Draft, review, and revise controlled documents, ensuring they adhere to organizational standards.

    + Monitor and ensure compliance with relevant industry regulations or nonprofit guidelines often required for funding and reporting transparency.

    + Assist in audits by retrieving and providing documentation for compliance checks.

    + Collaborate across departments to ensure document control processes meet the organization's operational needs.

    + Train staff on proper document control procedures and use of document management systems.

    + Generate reports and metrics to monitor document control effectiveness and identify areas for improvement.

    Requirements

    + 3+ years of experience in document control, records management, or a similar administrative role.

    + Experience working in the nonprofit industry or familiarity with nonprofit record-keeping practices is preferred.

    + Proficiency in document management systems (e.g., SharePoint, Docuware) and Microsoft Office Suite (Word, Excel, Outlook).

    + Knowledge of document retention policies and industry standards for compliance and security.

    + Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.

    + Excellent communication skills to coordinate with internal stakeholders and train team members.

    + Ability to handle confidential information with discretion and integrity.

    + A proactive mindset and willingness to improve processes to enhance efficiency.
