Description Job Description:
We are seeking a detail-oriented and proactive Purchasing and Inventory Coordinator to join our team. This position plays a key role in managing inventory, ensuring efficient logistics operations, and maintaining strong communication with internal teams and external partners. The ideal candidate will thrive in a fast-paced environment, excel in problem-solving, and prioritize accuracy in daily tasks.
Key Responsibilities:
Daily Tasks:
Accept Buybacks in ACE and ensure accuracy in data processing.
Monitor bulk oil across all warehouses and maintain optimal stock levels.
Run daily purchase reports for ExxonMobil products and address any discrepancies.
Resolve inventory errors or production issues to maintain accuracy.
Provide support with product repacks to streamline operations.
Review incoming sales orders for product errors or low-stock situations.
Send out Less-than-Truckload (LTL) shipments as needed.
Verify purchase orders (POs) against invoices and correct pricing errors promptly.
Coordinate orders for bulk and packaged loads to deliver to multiple locations.
Offer product alternatives for out-of-stock items or urgent requirements.
Weekly Tasks:
Generate and review purchase reports for non-Exxon products.
Prepare and provide the Repack Inventory Report to the appropriate stakeholders.
Monthly Tasks:
Conduct inventory counts and investigate shortages, including missed sales, mispulls, or production errors.
Review and negotiate freight rates to ensure cost efficiency.
Create and deliver a Slow Sales Report for analysis, covering 3-6 months of data.
Yearly Tasks:
Perform year-end inventory counts and resolve discrepancies.
Collaborate with auditors during year-end reviews.
Miscellaneous Responsibilities:
Import buybacks into Sage in the absence of team members.
Assist with product crossovers and identify solutions for unique customer requests.
Create new product codes and integrate them into backend systems.
Deactivate outdated product codes while notifying the sales team of updates.
Coordinate bypass bulk load setups as needed based on operational demands.
Build and nurture detail oriented relationships with critical partners, such as ExxonMobil.
Support the orders team and coordinate with ExxonMobil for specialized GE Wind orders.
Adjust inventory levels in response to changing trends and demand.
Update product order points when ExxonMobil changes storage locations and notify the appropriate teams.
Revise product pricing as needed, ensuring sales managers are informed of changes.
Source alternative product points when existing suppliers are unavailable.
Collaborate with Accounts Payable (AP) to address invoicing, ExxonMobil buyback, and freight-related issues.
Respond to and manage time-sensitive emergency orders and hotshot orders.
Qualifications:
Strong attention to detail with the ability to manage and resolve discrepancies.
Proficiency in inventory management and logistics coordination.
Effective communication skills to collaborate with cross-functional teams and external partners.
Experience using systems like ACE, Sage, and other ERP tools is preferred.
