Essential Job Duties:
The Department is seeking a detail-oriented and proactive Pre/Post Award Specialist to manage the financial and administrative aspects of sponsored research projects. This temporary position plays a critical role in ensuring compliance with all sponsor, university, and state guidelines from proposal submission through project close-out. The ideal candidate will have strong communication, problem-solving, and financial management skills, with a preference for experience in grants.
Other Work/Responsibilities:
As the Pre/Post Award Specialist, you will be responsible for:
Pre-Award Activities
+ Initiating and managing the pre-award process, ensuring all sponsor guidelines are met before proposal submission.
+ Preparing budgets, budget justifications, and other required documents for proposals.
+ Processing proposals through the Project Information and Navigation System ( PINS ), grants.gov, and other electronic submission platforms.
+ Managing new PINS requests, including correcting form-related issues.
+ Interpreting and communicating policies, rules, and regulations to faculty, and recommending resolutions for issues.
+ Collaborating with Principal Investigators (PIs) to develop pre-award budgets in compliance with university and agency regulations.
+ Assisting faculty and the grants office in proposal development, ensuring adherence to Federal, State, University, and Sponsored Agency guidelines.
Post-Award Activities
+ Managing the sponsored program portfolios of PIs, including day-to-day financial actions and timely follow-up.
+ Interpreting agency and university requirements, policies, and practices for PIs.
+ Providing support and information on funding increments, reporting deadlines, fiscal issues, and compliance.
+ Monitoring accounts to ensure compliance with Cost Accounting Standards (Federal), the State of North Carolina, and NC State guidelines.
+ Communicating effectively with faculty regarding overspending in grants and re-budgeting.
+ Submitting re-budgeting requests with revised budgets and justifications in the PMR system (with PI approval).
+ Tracking release time in grant funds and submitting timely paperwork for charging release time.
+ Providing quarterly release time balance reports to the Business Officer.
+ Collaborating closely with the Department’s Grant Manager, Business Officer, and Office on any unforeseen pre-award or post-award issues.
Required Qualifications:
+ Communication: Excellent verbal and written communication skills to interact with faculty, staff, and external agencies.
+ Technical Knowledge: Proficiency in relevant systems and processes for grant management (e.g., PINS , grants.gov).
+ Problem-Solving: Ability to identify issues, interpret policies, and propose effective solutions.
+ Financial Management: Strong understanding of budget development, financial monitoring, and compliance.
Preferred Qualifications:
+ Prior experience in Grants administration (pre-award or post-award).
