    Position Description

    The Administrative Assistant is a grant funded, non-civil service position that performs complex and varied professional administrative support services for the grant-funded Parentage / Child Support Division (“IV-D”) of Metro-Nashville & Davidson County Juvenile Court. Performs related duties as required.

     

    Davidson County Juvenile Court’s mission is to prevent problems, promote the positive potential in all people, and pursue fairness and hope.

    Typical Duties

    + Attends IV-D court hearings and serves as administrative assistant to assigned Magistrate.

    + Prepares court files for all IV-D hearings on a weekly basis.

    + Ensures all service of process for said files has been completed prior to court hearings.

    + Prepares legal pleadings and orders as required in order to ensure assigned IV-D cases are properly disposed.

    + Tracks and maintains data directly related to the IV-D grant.

    + Prepares monthly reports required by the IV-D grant.

    + Ensures docket schedules are utilized in order to meet the needs of IV-D clients for the assigned Magistrate.

    + Monitors all correspondence sent to the assigned Magistrate to ensure ethical compliance with said communications.

    + Travels to court hearings held at off-site locations as needed.

    + Takes all court related calls and messages on behalf of assigned Magistrate.

    + Addresses questions regarding general court matters such as case dates, times and continuances.

    + Reviews and maintains confidential and sensitive information.

    + Performs duties as sworn deputy court clerk.

    + Provides administrative support to team as needed, including, but not limited to, drafting and mailing correspondence, managing documents and records, and maintaining files.

    + Serves as back-up assistant to other assistants when required.

    Minimum Qualifications

    EDUCATION AND EXPERIENCE

    High School Diploma and two (2) years of administrative experience in a law firm or a law/court related field.

     

    Candidates with accreditations earned in a foreign institute are encouraged to apply.

     

    Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

     

    Preferred Experience, Knowledge, Skills, and Abilities

     

    + Child support related experience, specifically with State of Tennessee Child Support Guidelines/Child Support Worksheet calculations

    + Court room related experience

    + Ability to work in an environment that maintains high volume work load on a weekly basis

    + Ability to work with a diverse public population on a daily basis (including, but not limited to, face- to-face interaction)
