This position provides general office support & services to the Program Managers and Program Office Staff. Coordinates and provides guidance for administrative requirements to department secretaries. Also coordinates all administrative support for the Fort Bragg program as outlined in the below major job activities. Must be able to secure and maintain a Common Access Card (CAC), prior to employment. Must be able to pass a U.S. Postal Service Mail Handlers course and must possess a current, valid REAL ID state driver's license.

MAJOR JOB ACTIVITIES:
+ Provide all administrative support to the Fort Bragg Program Management Office.
+ Act in the capacity of the Program’s main point of contact with Vectrus Headquarters for administrative requirements.
+ Receives, reviews, consolidates, and submits all Program required reports to the Project Management (weekly staff meeting slides, weekly and monthly reports, Contract Deliverables (CDRL), daily Personnel Statistics (PERSTAT), vacancy reports, Cost Saving letters as examples of the multitude of reports required).
+ Maintains calendars and synchronizes and coordinates events for Senior and Regional Program/Project Managers.
+ Manages the Program’s PMO and coordinates with all Department Managers on requested tasks requires for signature by the Project’s Managers.
+ Coordinates with Corporate Executive Assistant to ensure the Senior Leaders schedules and administrative requirements are aligned when visiting the program.
+ Completes tasks directed by the Project Manager utilizing Microsoft Office; Excel, Word, PowerPoint, Outlook, Publisher, Teams, SharePoint and Adobe software daily.
+ Actively participates in staff and/or management level meetings and discussions pertaining to the activities encompassed in the administrative and management functions of the Program Management Office.
+ Delivers Program Level In-processing briefings and out-processing to all new employees (V2X & Subcontractors)
+ Provides CAC/Automated Installation Entry (AIE) badge requests, turn-in and revocations.
+ Collates, in-processing documents and submits / uploads them into V2X system repository.
+ Maintains Employee Recognition Awards data and inventory list.
+ Reviews and tracks all Key leaders leave forms for signature and distribution to required agencies.
+ Establishes/maintains office files on a wide range of topics and gathers necessary materials from files as needed for briefings and meetings. Receives and screens all telephone calls and visitors to Program Management Office.
+ Ensures appropriate arrangements are made for locally scheduled meetings and conferences; prepares agendas; and accurately documents and publishes minutes from scheduled meetings and conferences.
+ Maintains and distributes the Program’s phone roster and coordinates with Corporate and government staff for their directories.
+ Works closely with activities of the installation and appropriate points of contact in scheduling all meetings, visits, and activities for the program.
+ Process all Base Access Memos (BAM) for new employees and Program visitors.
+ Ensures all Program Management travel is initiated and completed via Concur Travel.
+ Maintains, handles, and manages all personnel information.
+ Manages and schedules the Program’s conference room; setup and operates all technology (laptop, projector, etc.) for all meetings in the Program’s conference room.
+ Ensures office maintenance is performed and completed in a timely manner.
+ Acts as the Program’s primary U.S. Postal Service Mail Handler – maintaining a valid state driver’s license in order to pick-up and deliver mail at least twice a week.
+ Acts as the PMO department hand receipt holder.
+ Solicits and prepares monthly program newsletter.
+ CAC and security tracking responsibilities for dates approved and renewals.
+ Prepares and handles files and Quality document libraries such as the Document Control Ledger, supply room ordering, Purchase Requests (PR), attendance sheets and dispersal of new requirements.
WORKING ENVIROMENT:
+ This position works indoors in an office environment and outdoors driving a government vehicle in order to complete duties.
+ Normal work week is 40 hours (5 days a week) Must be willing to work additional hours when mission requires.
+ Interpersonal and communication skills are requirements of this position as there is constant interaction with government personnel as well as co-workers.
+ Overtime will be approved by the Army Contracting Officer as needed.
+ This position requires flexibility in work hours.
+ Work environment is fast paced and at times stressful.
Qualifications
MINIMUM QUALIFICATIONS:
EDUCATION/CERTIFICATIONS:
+ High School Diploma, Associates degree preferred but not required.
+ Must have at least 3-7 years of executive support experience.
+ Must be able to pass a U.S. Postal Service Mail Handlers course.
+ Must have a valid REAL ID State Driver’s License with no restrictions.
+ Must be able to obtain and maintain a Common Access Card (CAC).
+ Must be able to obtain and maintain a Secret Clearance.
+ Must be able to provide proof of U.S. Citizenship, such as a birth certificate or a U.S. Passport.
+ Must be able to maintain driving privileges aboard the Fort Bragg Installation.
EXPERIENCE:
+ Must demonstrate a high degree of English proficiency, including speaking, understanding, reading, writing, and word processing.
+ Must be detailed oriented and organized.
+ Must have computer system administrative experience, should have experience in procedural development as well.
+ Possess knowledge of safety and environmental issues as they related to Office Management. Accustomed to dealing at executive level.
SKILLS:
+ Must be able to multiple task with accuracy, speed and precision.
+ Must be proficient in MS Suite (Outlook, Word, PowerPoint, Excel, Publisher, Teams and Sharepoint), must also know Acrobat Adobe
+ Outstanding Interpersonal and communication skills are requirements of this position.
+ Other duties as assigned to meet organizational/operational objectives.
