    Essential functions (job duties):

    POSITION PURPOSE

    Oversee and perform a variety of complex clerical and advanced bookkeeping work, applying accepted methods and procedures in the preparation, processing and reporting of financial transactions and the maintenance of detailed accounts and records. Some specialized technical knowledge of advanced bookkeeping is necessary in support of work activities.

    ESSENTIAL JOB FUNCTIONS

    - Compile and process monthly billings for revenue generating services; prepare billing records using tapes to generate appropriate billing reports. Prepare and process payrolls. Monitor and/or maintain petty cash fund.

     

    - Provide assistance in the development of budget proposals and projections. Prepare and maintain accounting and financial reports for a variety of general and grant fund accounts. Compile, analyze and prepare statistical data for budget planning. Prepare, review and process grant and general fund financial documents.

     

    - Reconcile bank accounts and statements. Prepare subsidiary journal vouchers for all bank accounts. Compile checks for bank deposits and deposit in appropriate account. Monitor and maintain petty cash fund.

     

    - Review and process revenues and expenditures. Allocate expenditures to accounts following established procedures. Commit and encumber funds to financial accounting system for all expenditure documents. Prepare appropriate University forms and paperwork for vendor payment and processing of invoices.

     

    - Compile statistical data; prepare special financial and accounting reports, e.g. project revenues, project costs, budget projections, etc. Maintain department activity logs and productivity reports.

     

    - Serve as resource regarding interpretation of financial accounting documents and procedures, established University policies and outside agency guidelines, e.g. APPM, FMS/BAR, etc. Review and audit financial documents submitted; understand payroll, purchasing and disbursement procedures to identify errors and discrepancies in paperwork; resolve problems and contact appropriate University personnel.

     

    - May provide functional supervision to a small number (1-3) of accounting, clerical and student support personnel. Assign, monitor and review work activities. Train in appropriate financial methods and procedures.

    - Perform general office functions. Maintain records and file systems. Operate standard office machines and equipment, e.g. calculator, typewriter, computer terminal, etc. Order and maintain supplies and equipment inventory. Schedule meetings and appointments as needed. Prepare appropriate University forms and paperwork.

     

    - Perform related work as assigned.

    ADDITIONAL COMMENTS

    This senior classification level is designed to oversee and perform complex clerical and advanced bookkeeping work routines which necessitates some specialized knowledge of bookkeeping practices. Work activities involve thinking within well defined somewhat diversified procedures and/or precedents. The level of freedom to act or accountability is subject to standardized practices and procedures and general work instructions. The incumbent is expected to have considerable knowledge of and experience applying University accounting procedures to review and audit financial documents completed by others and to prepare a variety of internal and external final reports. Functional supervision may be exercised over a small number (1-3) of clerical and student support personnel. This classification is generally located in the Division of Fiscal Operations or designated personnel and fiscal areas of responsibility in a School, College, Division or Center/Institute of the University.     Job Purpose

     

    Provide vision, leadership and direction for the University-wide Philanthropy team. Establish strategic plans and initiatives to increase philanthropic support for research activity and academic programs. Direct the team and collaborate closely with the Division of Research and Innovation to increase research support and strengthen partnerships with external funders. Cultivate, solicit and steward relationships with funders, research partners and foundations to meet established fundraising goals within the allocated expense budget. This position reports to the Vice President of Development and Alumni Affairs.

    Essential Functions % Time

     

    Collaborate with the Division of Research and Innovation (DORI), deans, faculty, institutes, foundations, and development colleagues to identify fundraising needs and priorities; create opportunities to generate foundation gifts/grants; develop fundraising strategies and action plans; and establish realistic and achievable timelines. Manage a prospect portfolio to achieve aggressive fundraising and contact goals annually. Establish and implement prospect qualification, cultivation, and solicitation strategies with a focus on securing commitments $1,000,000 or more. 20%

     

    Responsible for achieving annual fundraising goal and assisting in meeting unit and division goals: allocating and prioritizing time and resources to achieve the greatest return on investment. Performance and productivity will be measured on the following core metrics as determined annually:

     

    Dollars raised for campaign gift commitments

     

    Number of proposals submitted

     

    Number of proposals secured

     

    Number of visits with external funders

    Establish and direct national and global solicitation initiatives in collaboration with the Division of Research and Innovation and other academic partners to attract increased research and programmatic funding as part of the university’s comprehensive campaign. 15%

     

    Provide oversight and direction for the interdisciplinary initiatives, health affairs and academic programs fundraising teams. 15%

     

    Provide oversight and direction for the comprehensive stewardship program to ensure timely and accurate reporting; consistent training and engagement of school/college/unit business managers; and management of external funders stewardship plans and creation of impact reports and other recognition tools and events to effectively steward donors and foster increased giving. 10%

     

    Supervise staff, effectively managing performance to meet individual and team initiatives; foster a collegial and highly productive work environment. Recruit, interview, hire, train, coach, evaluate, and discipline staff. Establish and communicate performance expectations in a manner that motivates and empowers staff to fulfill job duties. Encourage, support, and ensure employee participation in training and development programs. 10%

     

    Manage unit annual expenditure budget. Develop revenue and expense projections, approve expenditures at unit level and monitor transactions for compliance with university policies and procedures. 5%

     

    Network with outside professional groups and organizations to keep abreast of current industry trends and best practices related to fundraising. Represent the Division of Development & Alumni Affairs at industry or community meetings at the request of leadership. Special projects and other duties as assigned. 5%

    Qualifications:

    MINIMUM QUALIFICATIONS

    Education Bachelor's degree

     

    Graduation from an accredited college or university with a degree in marketing, public relations, or business administration. Master's degree preferred.

     

    Reasonable knowledge and understanding of university policies and procedures.

     

    Experience Expert (established subject matter expert, 7+ years' experience)

     

    Minimum of eight (8) years' experience working as a fundraising professional in direct solicitations in excess of $250,000. Minimum of four (4) years' experience managing personnel, developing and implementing policies and procedures.

     

    Direct experience with creating development fundraising plans, preparing proposals and conducting high-level solicitations required. Higher education or non-profit development experience preferred.

     

    Positive and collaborative professional philosophy, recognizing that this position is integral to the achievement of the goals and objectives of Development and Alumni Affairs.

Strong organizational and time-management skills required. Maturity, sound judgment and ability to handle multiple tasks simultaneously in a deadline-oriented environment.
