    Our client is seeking an Executive Assistant to support the Chief Executive Officer and the Chief of Staff of an investment management company in Manhattan. This individual will be an effective collaborator with the ability to exercise good judgment in complex situations. Attention to detail and problem-solving skills, as well as excellent written and verbal communication skills, are essential. A successful candidate will be a self-starter who is able to balance execution speed and accuracy, work well under pressure, and have the confidence to make informed decisions independently.     Responsibilities

    + Report to and partner with the CoS to optimize the CEO on all matters, business and personal.

    + In coordination with the CoS, manage CEO’s inbox daily: flag emails that require attention, track all required follow up actions, ensure responses are made in a timely manner, and file emails appropriately.

    + In coordination with the CoS, manage busy business and personal calendars with a high degree of organization, attention to detail, and a sense of urgency.

    + Arrange market-related components of calendar, print relevant market and internal research, understand, or develop an understanding, of how market conditions can affect calendar planning.

    + Prepare a weekend binder with upcoming meeting materials and documents for the week ahead.

    + Manage business and personal travel logistics including flights (both private and commercial), transportation, and accommodations in addition to researching and creating travel itineraries.

    + Arrange all aspects of meetings including materials preparation and/or organization, conference room coordination, and technology needs.

    + Track and manage expenses and submit monthly Concur reports on behalf of the CoS and CEO.

    + Collaborate effectively and form strong partnerships with the administrative team.

    + Responsive outside of working hours as needed.

    Qualifications

    + Bachelor’s degree

    + Minimum of 5 years total experience

    + Proficiency in Microsoft Office

    + Background in finance preferred.

     

    Monday through Friday, onsite (7:45 am to 5:30pm/6:00 pm)
