They are responsible for multiple administrative support functions within Vitra departments and senior executive team, including but not limited to coordination of projects and compliance activities.

    Essential Functions:

    + Organizes and oversees the provision of administrative support services for senior leadership and office.

    + Monitors and reconciles budget reports for the senior executive team. Collects and compiles weekly and monthly key performance indicators from various departments within required deadlines.

    + Schedules appointments and meetings for members of the senior executive team.

    + Plans, prepares and organizes logistic and administrative requirements for seminars, conferences and other special programs or events.

    + Manage executives' complex calendars, including scheduling meetings, appointments, and travel arrangements.

    + Coordinate and prioritize incoming communications, including emails, calls, and correspondence, ensuring prompt and appropriate responses.

    + Prepare and edit documents, reports, presentations, and meeting agendas.

    + Serve as a liaison between executives and internal/external stakeholders, fostering strong professional relationships.

    + Manage office supplies and ensure the functionality of office equipment.

    + Assist in the planning, coordination and execution of regulatory projects.

    + Assist in record and document keeping such as contracts, compliance surveys, etc.

    + Supports Chief of Staff with Board related activities and meetings.

    + Support ad-hoc projects and initiatives as directed by senior executives.

    + Fosters a culture of customer service and commitment to quality care.

    + Serves as a brand ambassador to Vitra reflecting our vision, mission and values.

    + Shows genuine interest and compassion for the communities we serve.

    + Embraces and champions a culture of diversity, equity and inclusion.

    + Interfaces with clients for customer service evaluation as needed.

    Education, Experience and Licensure Requirements:

    + Bachelor's or associate degree preferred.

    + Excellent attention to detail and organization skills.

    + Excellent customer service skills and ability to interact professionally with peers, leadership, internal and external customers.

    + Ability to prioritize, multitask and meet deadlines.

    + Ability to work independently.

    + MS suite experience required (power point, Word, Excel)

    + Bilingual/Spanish speaking required.

    + Effective communication skills.

    Physical and Environmental Demands:

    + Works in a clean, well-lit environment with fluctuating temperatures in close proximity to others.

    + Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.

    + Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to negotiate stairs; requires visual acuity and manual dexterity to operate equipment.
