GENERAL SUMMARY
We are seeking an experiencedSenior Medical Secretaryto provide high-level administrative and secretarial support to theDirector of the Cardiac Cath Labat our Detroit location. This role requires proficiency in medical terminology and operations within a clinical environment, along with the ability to handle complex administrative responsibilities in a fast-paced setting.
Under general supervision of the Division Head or Physician-in-Charge, the Sr. Medical Secretary will perform a variety of duties, including managing confidential information, coordinating schedules, preparing reports, and supporting medical operations. This position plays a critical role in ensuring seamless communication and organizational efficiency.
PRIMARY RESPONSIBILITIES
+ Provide comprehensive administrative support to the Director of the Cardiac Cath Lab.
+ Manage calendars, schedule meetings, and coordinate appointments.
+ Prepare, review, and edit correspondence, reports, and presentations.
+ Handle confidential and sensitive information with discretion.
+ Assist with special projects, data collection, and report preparation.
+ Coordinate meetings, including logistics and material preparation.
+ Answer and screen phone calls, addressing inquiries or directing them as appropriate.
+ Maintain an organized filing system for documents and records.
+ May oversee the work of lower-level clerical staff and assist with supply purchasing.
+ Perform routine bookkeeping and billing functions as needed.
EDUCATION/EXPERIENCE REQUIRED:
+ Requires a High School Diploma or a G.E.D. equivalent.
+ One (1) year certificate from college or technical school with at least three (3) years of experience within an office setting; or five (5) or more years of related secretarial experience within an office setting required.
+ Previous experience scheduling appointments/maintaining calendars required.
+ Progressively more responsible related work experience necessary in order to gain in-depth understanding or organizational policies, procedures and operations, in order to assume a variety of high-level administrative details including arranging meetings and conferences without prior clearance, answering semi-complex correspondence, assembling highly confidential and sensitive information, answering questions of influential callers, and so forth. Proficient with medical terminology.
+ Interpersonal skills necessary in order to effectively communicate with external and internal callers and visitors, often dealing with sensitive/highly confidential matters.
+ Analytical skills necessary in order to handle semi-complex administrative details such as preparing special non-recurring reports by combining confidential data from several sources, and scheduling and handling administrative/secretarial needs of supervisor.
