GENERAL SUMMARY:
This position coordinates and monitors all activities and personnel associated with the delivery of Volunteer Services. This position organizes and coordinates all office procedures, recruits, orients, maintains competencies, duties, and hours of all volunteers.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
+ Recruits, attracts and retains the best and most motivated volunteers
+ Coordinates and leads all volunteer orientations, including interviews and placement
+ Ensures all volunteers are compliance with regulator compliance prior to becoming an active volunteer, such as TB immunizations, flu vaccinations, background checks, etc. Also ensures those regulatory requirements are maintained up-to-date while the volunteer is “active”
+ Works with departmental managers to develop clear and precise position descriptions and appropriate tasks
+ Matches volunteer strengths with the appropriate departmental needs
+ Ensures database management; maintaining all documentation electronically; generates and provides accurate monthly metrics. Maintains departmental reports, records, and data for administrative and regulatory purposes
+ Keeps departmental procedures on-line and up to date and in compliance with all safety and quality, environmental and infection control standards.
+ Maintains position descriptions for volunteer assignments
+ In conjunction with the Director of Volunteer Services, coordinates community outreach programs and donation drives
+ Acts as a daily resource person for all volunteer staff. Prepares and maintains master volunteer schedules, Trains volunteers through orientation, annual mandatory education, departmental training and facilitates annual evaluations
+ Answers and screens the high volume of telephone calls; directs calls efficiently and provides information regarding Henry Ford Health System services and community resources
+ Coordinate meetings and maintains appointment schedule; coordinates use of facilities and services as required. Schedules and assists in planning all volunteer activities
+ Supports the implementation of the department budget by monitoring and tracking purchases of office supplies and equipment
+ Responds in a timely manner and with sensitivity to the needs of internal and external customers. Consistently seeks ways to accommodate customers' needs. Strives to improve and streamline processes. Strives to establish and maintain cooperative and productive working relationships with all employees, volunteers, and visitors. Shows respect for the position as it is reflective of the hospital. Abides by the rules of confidentiality (HIPPA), and practices and role models all service excellence behaviors
+ Attends staff and various other meetings/in-services as required. Enhances professional growth and development through participation in educational programs, service excellence and/or hospital-sponsored teams
+ Coordinates vendor contracts and schedules, maintaining monies from volunteer functions and fundraisers. Responsible for ensuring payment and the deposit of funds into designated account.
+ This job requires a very high degree of personal interaction. Going above and beyond to keep our volunteer staff happy is a high requirement of this job.
+ Daily contacts are made with volunteers, visitors, department managers, related businesses, and employees to provide general information and answer inquiries
+ Perform other related duties and special projects as required
EDUCATION/EXPERIENCE REQUIRED:
+ High school diploma or equivalent. Bachelor's degree preferred.
+ Minimum of two years of experience with volunteers
+ One year of secretarial experience.
+ Proficiency in Microsoft office.
+ Experience with Vsys One preferred.
