About the Team:
Dow Jones Global Real Estate & Workplace Evolution (GRE & WE) creates and maintains an inspiring office portfolio of engaging, effective, and evolving employee experiences and workplace offerings for Dow Jones.
About the Role
You will reside within the Global Real Estate & Workplace Evolution (GRE & WE) organization. You will be based in our NYC office, reporting to the Senior Director of Global Facilities Operations, who is in our Princeton, NJ office. The expectation for this role requires 4+ days per week in office, hours and days of which must align around business interactions, facilities management activities, and presence with clear purpose. You will oversee project activities after hours which will occur from time to time and on an occasional weekend basis. You will oversee employee staff and the Facilities supplier coordination, and will focus on the Facilities Management oversight at our headquarters office in midtown Manhattan, consisting of 4+ floors, occupied by approximately 1,600 employees. You and your team are the point of contact for all Facilities matters, ensuring that the office is compliant with New York City Codes, New York State Codes, Company Standards, and OSHA Standards. You will also work in alignment with the GRE & WE Workplace Design & Project Delivery team, Real Estate team, Workplace Evolution team, Security, and Base Building Facilities Management.
You Will:
Supervision and Team Leadership
+ Supervise and lead the performance of the NY Maintenance staff of three (3).
+ Supervise Pantry Attendants and maintain pantry, coffee, and snack service (outsourced suppliers).
+ Supervise Day Porter and Day Matron in cleaning tasks (outsourced suppliers).
+ Ensure the Facilities team has 24/7 on-call coverage in the event of an emergency.
Budget and Financial Management
+ Be responsible for overall Facilities Opex budget for HQ and select capital expense tied to building infrastructure.
+ Track project costs against approved budgets.
+ Process invoices through SAP.
+ Ensure accuracy of vendor billing, process SAP approvals for payment.
+ Review supply orders and cross check cost.
+ Partner with Sourcing to conduct supplier RFP's to ensure services rendered meet Dow Jones expectations and are cost effective.
+ Work with the Sourcing Department to negotiate any equipment purchases, layout, arrangement, and housekeeping of office facilities.
Facilities Operations and Maintenance
+ Coordinate all maintenance and repair work of electrical, plumbing, and HVAC systems.
+ Respond to and address any temperature issues in the office space through the Building Management System.
+ Be familiar with diesel generators, automatic transfer switches, UPS equipment, batteries, and related critical power infrastructure.
+ Ensure work orders description of tasks is clear, assigned properly, completed in a timely manner, closed, and customer satisfaction confirmed.
+ Be accountable for regular office tidiness/cleanliness, ensuring nightly cleaning staff resets all workspaces, and removal of debris and personal items left in common areas, and is free of pests..
+ Schedule and oversee quarterly coordination of deeper cleanliness and tidiness initiative, ensuring office safety, and ensuring a positive customer/ visitor first impression.
+ Maintain plant service for the office.
+ Submit requests for building services i.e. freight elevator, truck lift, fire alarm bypass as needed.
Vendor and Contractor Management
+ Be the Liaison between Building Property Managers, Dow Jones and News Corp.
+ Keep track of Certificate of Insurances and service contracts of approved vendors.
+ Attend project/vendor meetings.
+ Add contractor employee names to the access control system.
+ Assist with contractor walkthroughs and project tasks.
Health, Safety, and Compliance
+ Ensure Environmental, Health and Safety documentation is organized and up to date.
Project Support
+ Assist the Senior Director of Facilities and Senior Director of Workplace Design & Project Delivery on various construction projects.
You Have:
+ 7+ years of corporate environment Facilities Management experience.
+ Bachelor's Degree in Facility Management or related field or equivalent field experience.
+ CFM designation preferred, but not required.
+ Active IFMA and / or CoreNet engagement for industry learning, as well as peer to peer benchmarking.
+ 3 - 5 years of People Management experience, focused on performance management and career development.
+ Extensive knowledge and experience in Project & Construction Management, and Facilities supply chain partners to deliver an effective and engaging workplace experience.
+ Experience working in a corporate setting, with the curiosity to understand a company with a broad variety of business units with differing office space and hybrid workplace needs.
+ Interpersonal skills and are enthusiastic, to aid in managing customer relationships across the facility.
+ Stakeholder Engagement knowledge with a focus on building a brand for facilities - hospitality services.
+ An understanding of project management communication methods via timelines, schedules, and business case scenarios.
+ Experience partnering with a Project Delivery and Design team responsible for Architecture & Design projects.
+ Project administration experience, such as supplier management, vendor onboarding, invoice processing, PO/PR creation, budget management.
