Summary:
The Employee Health Medical Administrative Assistant provides administrative assistance to the Director of Employee Health/Wayne Wellness Clinic and performs patient care activities in the employee health practice under the direction and supervision of the Director and/or Provider. The Employee Health Administrative Assistant processes payroll for all divisions of Employee Health. In addition, Employee Health Administrative Assistant manages office business activities.
Responsibilities:
1. Receive and direct phone calls, schedule appointments, check-in patients, obtain necessary patient information to file and update patient records, collect payments (when required), and ensure all forms and consents are completed by patients.
2. Performs basic patient assessment including body weight, height, vital signs and current medications. Verifies patient information and enters information into the medical record.
3. Reports all changes in patients’ condition to the health care provider.
4. Performs specific procedures such as venipuncture or capillary puncture and tests on patients as directed by Provider.
5. Assists Providers during patient examination and procedures.
6. Performs instrument and room cleanup following patient discharge.
7. Aids in maintaining supplies and clinical emergency equipment. Ensure exam rooms are properly stocked. Ensure supplies are not expired in all clinic rooms.
8. Participates in in-service programs, staff meetings and other required programs.
9. Performs other job-related duties as needed.
10. Accurately collects and labels specimens prior to sending them to the lab for resulting.
11. Ensures a safe, clean, and orderly environment for self, patients, and teammates.
12. Maintains accurate, detailed, confidential patient information in spreadsheets to facilitate the complex care management program.
13. Completes prior authorization paperwork required for medications managed with complex care management.
14. Ensures that department clerical functions are completed.
15. Handles, codes, and deposits collected revenue.
16. Maintains time and attendance records and submits payroll information for all Employee Health teammates. Monitors and adjusts time and attendance for teammates working secondary jobs in the hospital.
17. Submits department staff meeting minutes for Employee Health and other assigned committees and records all meeting attendance.
18. Coordinates staff communication activities including, but not limited to, WMH Foundation Campaign, WATCH Campaigns, Social Committee, Bosses Day and Nurses Day celebrations, updates of interdepartmental personal and business information, weekly master schedule coordination and distribution, and all other department matters as needed.
19. Maintains supply inventory and serves as department purchasing agent through Infor and Office Depot.
20. Monitors and ensures testing and functioning of equipment; troubleshooting problems/issues.
21. Assists in developing and implementing computer programs
22. Assesses Employee Health Data Sheets and compiles data for hospital monthly and annual reporting.
23. Assists with data collection/entry necessary to complete staff yearly evaluations.
24. Performs scanning and electronic record keeping as directed by Employee Health Director.
25. Maintains confidentiality when working with information related to employee health records and department functions.
26. Promotes effective communication within the department. Keeps Director informed of any issues or concerns.
Other information:
Education
• High School or GED required. Associate degree preferred.
Licensure/Certification
• None.
Experience
• Three to five (3-5) years of medical office experience preferred.
Knowledge, Skills and Abilities
• Good interpersonal and customer service skills.
• Detail oriented and accurate.
• Ability to read, write and communicate effectively in English.
• Proficient with MS Office and EPIC. Able to learn new software rapidly.
