Job Summary and Qualifications
The Executive Administrative Assistant serves as the primary contact for select senior team members at TriStar NorthCrest Medical Center. This position performs clerical functions, maintains calendar(s), and prepares correspondence for officers and Administrator as needed. In addition, this role will also assist in developing and retaining customer relationships to drive growth for key hospital services. Customers include: physicians and surgeons, CEOs of outreach hospitals, EMS leadership, free standing ER/urgent care leadership and staff, advanced practice providers, surgical leadership, and physician office staff. This position will work closely with hospital leadership to provide a focal point for the direction of sales initiatives designed to increase incremental case volume.
What you will do in this role:
+ Coordinate day-to-day operations of the Administrative office.
+ Act as liaison between department staff and the senior management team.
+ Assist management team with special projects (JCAHO, survey teams, etc.
+ Greet and assist guests, patients, families, staff, etc. with any questions and directs them to appropriate personnel for assistance.
+ Manage senior team schedules by placing all meetings and appointments in calendar.
+ Coordinate special projects as assigned (social functions, holiday parties, florist usage, travel agencies, etc.).
+ Serve as timekeeper/payroll for various departments & accurately completes payroll documentation as needed.
+ Assume accountability for promoting consistent, positive patient interactions that advance the agenda of unparalleled patient service.
+ Maintain a patient-first philosophy and engage in service recovery when necessary.
+ Support the development and implementation of strategies to elevate the patient experience.
+ Identify opportunities to take action to build strategic relationships to help achieve goals.
+ Responsible for facility tours for all physicians and physician candidates.
+ Responsible for introductions of new physicians to current physicians and advertising new physicians within facility.
+ Bi-weekly rounding in MOB to ensure constant communication.
+ Host quarterly new provider breakfast.
+ Act as an extension of hospital leadership and operations, focusing on key internal and external customers to grow hospital volumes.
+ Develop and execute strategic plans to grow hospital volumes, including inpatient admissions, outpatient services and surgical volumes. Build data – driven business cases for strategic growth proposals.
+ Engage with physicians and surgeons in the OR, understands basic OR protocols and procedures.
+ Responsible for Issue Resolution processes and work to implement solutions for gaining or retaining business.
+ Community outreach and rounding with physician practices.
+ Manage P-Card usage and reconciliation monthly.
What qualifications you will need:
+ High school diploma/GED required; 4-year degree from an accredited university preferred.
+ 2-3 years of progressively responsible clerical experience required.
+ Excellent typing speed; 75 words per minute required.
+ Proficiency in computer basics include word, excel, etc. required.
+ Excellent written and oral communication skills required.
