Job Summary:
The Administrative Assistant I is supervised by the Academic Dean and provides secretarial and clerical support to the School, while serving as a liaison between the School and industry partners. Responsibilities of this position relate to day and evening programs, with primary support for all the Dean, Associate Dean, and Program Directors.
Essential Functions:

Documentation/Reporting
• Conducts research using a variety of resources to generate reports, solve departmental issues, and find innovative technology solutions.
• Copies, distributes, and files appropriate letters, memoranda, reports, and other materials.
• Maintains filing and record-keeping systems.
• Manages databases and reports for instructional enhancements.
• Assists in preparing purchase orders and expense payment vouchers as needed.
• Utilizes a variety of software to produce documents, spreadsheets, visual aids, and promotional materials.

General School Support
• Monitors the submission of no-shows and grades in Blackboard
• Assists in the coordination and entry of semester schedules.
• Serves as liaison between industry partners and the School; providing information and assistance as needed for internships/apprenticeships, and referrals to the appropriate Program Director.

General Campus Support
• Assists students with advisement/registration processes, as needed.
• Demonstrates a willingness to be of service and assists students, coworkers, and the general public with questions, concerns, or processes pleasantly and professionally.
• Maintains office supply inventory.
• Posts current classroom schedules each semester.
• Serves in a receptionist role, based on School needs.
• Works closely with Campus Police to maintain a safe and secure environment that is conducive to learning.

Supports School Administration (Academic Dean, Associate Dean, Instructional Coordinator, and Program Directors)
• Accepts direction and feedback.
• Assists the Academic Dean with specific division and accreditation reports, as requested.
• Assists Instructional Coordinator with a general orientation for new adjunct faculty.
• Assists Program Directors with recruitment and recommendations of adjunct faculty each semester.
• Proofreads and edits documents for content, clarity, and conciseness.

Work Environment:
This position operates in a professional office environment. This role routinely uses standard office equipment and related technologies.

While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls, reach with hands and arms, climb stairs, talk, or hear. The employee must occasionally lift or move office products and supplies, up to 25 pounds.
Position Type/Expected Hours of Work:
This is a full-time administrative position. Candidate must work 40 hours per week, 12 months each year, and the expected hours are Monday-Friday day/evening hours, including weekends, based on need.
Travel:
Travel to other campuses will be required to attend meetings, trainings, and professional development.
Required Education and Experience:
• High School Diploma or equivalent
*and*
• Six (6) months of related work experience
• Valid Driver’s License
Preferred Education and Experience:
• Associate’s degree or higher
• Completion of a formal training program from an accredited institution in the area of business or office management
• Excellent knowledge and experience in Microsoft Office and internet research
• Experience in accounting, budgeting, and purchasing
• Experience in post‐secondary education, faculty recruiting, or a related field
• Experience with Banner
• Experience working with special projects, customer service, data entry, budgeting, and records management
• Strong computer, communication, and interpersonal skills
• Two years of related work experience performing advanced-level administrative support to an agency
