    Job Description

    Job Overview:

    As part of the P&C Operations team, the Contingent Workforce Specialist will be responsible for managing the full life cycle of Independent Contractors (ICs) and staff hired through third-party payroll processors. This includes contract creation, onboarding, renewals, and terminations. This role serves as the main point of contact for managers across the organization who need support with these types of engagements.

     

    The role involves close collaboration with internal teams such as Legal, Procurement, and Finance, ensuring compliance with organizational policies and maintaining high service quality and responsiveness. The Specialist also contributes to ongoing process improvement efforts, ensuring that contingent workforce practices remain streamlined, scalable, and audit ready. This position reports to the Director, P&C Operations.

    Major Responsibilities:

    + Own the end-to-end process for non-employee workers, including Independent Contractors and third-party payroll staff – from contract initiation and onboarding to renewals and offboarding.

    + Provide expert guidance to hiring managers on non-employee engagement types, processes, and required documentation.

    + Coordinate with internal finance teams to ensure third-party vendor invoices (e.g., TCW, Remote, Deel) are submitted, tracked, and resolved promptly to prevent payment delays or disruptions to external workers.

    + Manage multiple concurrent contracts and urgent deadlines, ensuring timely execution and prioritization across competing demands.

    + Coordinate contract approvals, onboarding tasks, background checks, system setups, renewals, and offboarding.

    + Collaborate with Legal, Procurement, and Finance to ensure all contracts and processes meet organizational and legal standards.

    + Track and report on contract status, renewals, expirations, and related workflows.

    + Ensure all records are complete, accurate, and compliant with audit and data privacy requirements.

    + Identify and implement opportunities to streamline workflows and improve the experience for managers and non-employee workers.

    + Provide guidance and training to internal stakeholders on process and documentation requirements.

    + Monitor engagement duration and type of work performed to ensure compliance with internal policies, and advise when conversions to employee status may be required.

    + Support the financial setup of vendors when applicable.

    + Work closely with HRIS, and other teams to ensure seamless integration and support for non-employee workers.

    Preferred experience & skills:

    + Minimum 3 years of experience managing contractor or vendor onboarding or HR operations in a fast-paced environment.

    + Solid knowledge of contingent workforce models and vendor engagement processes.

    + Proficiency in Microsoft Office; experience with Workday (HRIS) and contract management systems is a plus.

    + Strong organization and prioritization skills; able to manage multiple tasks and deadlines.

    + Excellent interpersonal skills and written and oral communication skills: able to effectively interact with a variety of internal and external representatives with confidence and poise.

    + Track-record of working effectively in a team environment as well as taking initiative independently.

    + Comfortable working across legal, finance, and procurement contexts.

    + High attention to detail with the ability to adapt to changing requirements.

    + Proven ability to build relationships and influence internal stakeholders.

    + Commitment to respect and maintain confidentiality of sensitive information

    + Experience with contract review and basic financial analysis is a plus.

     

    Key Working Relationships

     

    Reports to:P&C Operations Director

     

    Internal :P&C Partners, Legal, Finance and Procurement Teams

     

    External:TCW representative, Deel, and Remote (and other third-party payroll providers as needed)

    Working Environment:

    + Standard office working environment.

    + This role is eligible for remote or hybrid work arrangements depending on location and business needs.

     

    Compensation:Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
