    Your Specific Responsibilities:

    This position performs a variety of complex administrative tasks in assisting the Public Health Nutrition Program Director, the Accountant I, and the Records Analyst in the administration of the Special Supplemental Nutrition Program for Women Infants and Children (WIC) and nutrition program.

     

    Researches and prepares various daily, weekly, and quarterly reports as required by the state WIC office. Analyzes completed reports for irregularities/abuse, client abuse, staff errors in documentation or issuance, and initiates appropriate remedial action, training, and follow-up.

     

    Orders special formula products and submits invoices of nutritionals to the State WIC office according to policy within the established state guidelines. Coordinate the delivery of nutritionals between clinic sites as needed.

     

    Orders WIC forms, nutrition education materials, and office supplies as well as providing notification to the State office as needed.

     

    Reconciles the monthly inventory of exempt formula and medical foods according to the standards established by the State WIC office. Reconciles the inventory of the WIC EBT instruments. Keeps inventory records of receipts and disbursement of infant formula, WIC benefits, and WIC EBT cards. Manages the inventory and ordering of state WIC forms, nutrition education materials, and office supplies, as well as providing notification to the State office as needed.

     

    Prepares and/or assists in the preparation of the monthly report of Program Operations for the State WIC office using computer assigned software. The preparation of this reporting involves combining issuance data from all clinic sites, reconciling expenditure receipts, computing nutrition education, administrative and certification costs, and billing the state WIC office for total program expenses. Assists in maintaining a ledger on allocation and expenditures and reconciles expenditures and receipts.

     

    Monitors the voter registration activities of all WIC and reporting according to the standards/frequency established by the State WIC office.

     

    Assists WIC Vendor Manager with compliance reviews of authorized WIC vendors. Conduct/submits compliance reviews in the absence of the WIC Vendor Manager.

     

    Provides customer service on the appointment line and schedules appointments for WIC Program clients.

     

    Travels to clinic sites as needed and assists clinics remotely over the phone with WIC and Nutrition Services.

     

    Determines income eligibility of current and potential WIC participants.

     

    Provides a limited amount of nutrition education in the form of WIC quarterly nutrition newsletters.

     

    Issues WIC Program benefits in accordance with procedures outlined in DHM 150-24 in the WIC manual.

     

    Accurately completes all required forms and reports including, but not limited to, the Employee Activity Report, Leave and Attendance Record, Leave Authorization forms, and travel logs by required deadlines.

     

    Performs other related duties as required.

     

    Complies with and monitors compliance (when applicable) of the mandatory requirement in section 215.422, F.S. and Chapter 3A-24 of the Florida Administrative Code.

    Minimum –

     

    + Willingness to work before, during, and/or beyond normal work hours in the event of an emergency. This includes emergency duties including, but not limited to, response to threats involving any disaster, man-made or natural.

    + This position requires the successful incumbent to work in various clinic locations and other community partners in Brevard County.

    + Ability to solve challenging customer service situations in person and over the phone.

    + Experience with preparing and analyzing reports.

    + Experience with record keeping in both electronic and paper filing systems.

     

    Preferred –

     

    + Experience with ordering materials and supplies.

    + Ability to fluently read, write, and speak both English and Spanish or Creole.
