    Reporting to the Vice President of Transformational Gifts & Strategic Initiatives (TGSI), the Assistant Director, Individual Giving Operations on Transformational Gifts & Strategic Initiatives provides critical support to the Vice President and team members of the TGSI unit with the potential to provide support to the growing Principal Gifts team. The role involves coordinating complex donor engagement projects, monitoring the timely execution of donor/prospective donor related activities, and managing operational tasks, facilitating enhanced productivity of unit team members. The Assistant Director contributes to the development and implementation of the unit plans, operating goals, supports pipeline reporting, administrative onboarding, and oversight of database management, training and ensuring current key performance indicators (KPIs) are up to date.

     

    The Assistant Director provides additional support to the Senior Vice President on donor activity led by the TGSI team, management of bi-monthly Strategy Meetings to ensure tracking, alignment, and effective execution of steps to advance donor and prospective donor strategic engagement and gift conversations.

     

    The Assistant Director serves as a partner for the growing Principal Gifts team and may provide additional oversight and guidance for administrative support of team members ensuring alignment with strong reporting and engagement in special projects related to high-capacity donors. The role will engage in a Community of Practice with other Assistant Directors to share and gain learnings to ensure alignment across front-line fundraising teams of this critical function.

     

    This role plays a critical function in advancing Dana-Farber Cancer Institute’s mission by providing high-level operations, communications, and project management support, ensuring seamless execution of high-impact fundraising initiatives in support of cutting-edge cancer research and patient care.

     

    The ideal candidate will be a proactive, results-driven professional with strong project management, strategic communications, and organizational skills. This role offers an exceptional opportunity to work closely with senior leadership, including partnership with Office of the Senior Vice President and The President & CEO’s office.

     

    _Internal Title: Assistant Director, Individual Giving_

     

    The onboarding of this role will include a comprehensive training process which includes completion of online modules, shadowing colleagues, as well as hands-on learning experiences throughout the first calendar year in the role.

    This position is considered hybrid, 2-3 days onsite at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont.

    Project Management Responsibilities

    + Onboard and train Senior Associate, TGSI. Ensure strong coordination of donor engagement activity.

    + Working closely with TGSI team members, ensure management of complex donor engagement activity from inception to completion, including communication with and coordination of stakeholders, ensuring high-quality standards and adherence to timelines, resources, and deliverables.

    + Oversee the coordination of donor visits and management of on-site logistics, arranging travel meeting schedules and itineraries, to ensure an efficient, smooth, and positive experience for all participants (donors, prospective donor, volunteer, leadership, and faculty). Develop, implement, and manage the process for Palm Beach Individual Giving donor/prospective donor visits, including management of on-site logistics to support faculty and leadership, in consultation with Individual Giving units.

    + Collaborate with Senior Leadership:

    + Partner with the Senior Vice President, Vice President of Principal Gifts and interface with the Office of the President & CEO to execute institutional fundraising priorities and initiatives, ensuring alignment and effective execution of strategic goals and objectives.

    + Support Strategic Plans:

    + Assist in the development and implementation of unit operating plans, strategic priorities, and fundraising goals, assuring team member activity and projects are aligned, data-driven, and results-oriented.

    + Budget Management:

    + Serve as the budget manager for the TGSI unit, reviewing, tracking, and managing expenses, and adjusting as needed, to adhere to unit budget.

    Operational Responsibilities:

    + Onboard Senior Associate, TGSI to provide schedule and correspondence management.

    + Prepare High-Level Materials:

    + Prepare President and CEO briefings/call sheets, and collateral materials for prospects assigned to the Vice President and, as appropriate, the Senior Vice President (PM1/PM2), and the Office of the President & CEO.

    + Data Collection and Analysis:

    + Compile and analyze data for unit team members to generate reports and track progress against fundraising goals, and unit’s metrics for portfolio management.

    + Internal and External Communication:

    + Serve as a unit key point of contact for internal teams, senior leadership, and external stakeholders providing timely communication and responsiveness.

    Donor/Fundraising Responsiblities:

    + Donor Engagement and Stewardship:

    + Facilitate the Vice President’s management of donor engagement, solicitation, and stewardship activities, including review of donor communications, proposals, and stewardship/acknowledgement correspondence.

    + Serve as a trusted key point of contact for donors and prospective donors assigned to the unit Vice President and Senior Directors, as needed.

    + Portfolio Review:

    + Monitor portfolio activity of the team for quarterly review by the Vice President.

    + Cross Divisional Coordination:

    + Act as a liaison to units (fundraising and business) across the Division maintaining open channels of communication, maximizing opportunities for collaboration, limiting duplication of efforts and undue burden on team members and resources.

    Leadership Responsibilities:

    + Project manager (advanced planning and logistics) for Palm Beach, FL donor visits and prospect engagement and partner with the Donor Experience & Engagement team on regional events.

    + Team Onboarding and Training:

    + Manage onboarding and training of new TGSI team members, including development of onboarding schedule, facilitating introductions, and enhanced Clearview training.

    + Manage monthly TGSI team meetings, quarterly meetings to review team performance, and annual meeting to develop operating plan, goals and KPIs.

    + Monitor unit’s adherence of Division’s business practices, rules and policies to ensure compliance and consistency.

    MINIMUM JOB QUALIFICATIONS:

    Bachelor’s degree required plus 4+ years of relevant work experience in a professional setting.

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    Excellent written and verbal communication skills. Ability to prioritize and manage multiple tasks, work collaboratively with various personalities, and handle complex project management. Proficiency in Microsoft Office, including Office 365, Excel, SharePoint, and PowerPoint. Ability to handle all situations and documentation in a highly confidential and professional manner, exercising good judgment.

     

    The Assistant Director will work in a dynamic and fast-paced environment, interacting with executive leadership, trustees, ultra-high net worth (UHNW) donors and prospective donors, faculty, senior staff, and colleagues. This role requires flexibility, strong organizational skills, and the ability to manage multiple tasks simultaneously while maintaining high standards of professionalism and confidentiality.
