    Description

    We are looking for a highly organized and detail-oriented Operations Administrative Assistant to support our team in Martinez, California. In this Contract-to-Permanent role, you will play a pivotal part in ensuring seamless office operations and managing critical documentation. This position offers the opportunity to collaborate with project managers, division leaders, coordinate prequalification packages, and oversee various administrative processes essential to the organization.

    Responsibilities:

    • Provide administrative support to division managers and leaders, ensuring their needs are met efficiently.

    • Maintain and organize files, schedules, and key documentation to facilitate smooth operations.

    • Handle incoming calls, manage office correspondence, and oversee logistical arrangements.

    • Prepare internal reports, meeting agendas, and memos to support organizational communication.

    • Coordinate meetings, travel plans, and training sessions for team members.

    • Monitor office supply levels and place orders as needed to maintain inventory.

    • Manage safety and compliance records, ensuring all documentation is up-to-date and accurate.

    • Compile and track prequalification packages by gathering critical documents, such as insurance certificates, resumes, safety records, financial statements, and licensing requirements.

    • Maintain a database of completed prequalification packages, track deadlines, and ensure timely submissions.

    • Collaborate with clients and internal teams to clarify submission requirements and timelines.

     

    Requirements • High school diploma or equivalent; an Associate’s degree is preferred.

     

    • A minimum of 2 years of administrative experience, with a preference for candidates familiar with the construction industry.

    • Proficiency in Microsoft Office Suite, including Word and Excel, with advanced skills in Adobe Acrobat.

    • Familiarity with software such as Spectrum or Procore is a plus.

    • Excellent organizational and communication skills, with the ability to manage multiple deadlines simultaneously.

    • Valid California driver's license is required.

    • Strong problem-solving, multitasking, and prioritization abilities.
