Description
We are seeking a highly organized and detail-oriented Cash Application Specialist to join our finance team. The Cash Application Specialist will be responsible for accurately and efficiently applying incoming payments to customer accounts, resolving discrepancies, and maintaining accurate records. This role is key in ensuring accurate financial reporting and requires strong analytical skills, proficiency with accounting systems, and excellent customer service abilities.
Key Responsibilities
+ Payment Processing: Accurately and timely apply incoming payments (checks, ACH, wire transfers, and credit cards) to customer accounts in the accounting system.
+ Reconciliation: Reconcile cash receipts to customer invoices and resolve any discrepancies or unapplied payments.
+ Research & Resolution: Investigate and resolve payment discrepancies, including short payments, overpayments, and chargebacks, by working closely with internal teams or customers.
+ Credit and Adjustment Management: Process customer account adjustments, including credits, refunds, or write-offs, ensuring proper documentation and approval.
+ Customer Interaction: Communicate with customers to address payment issues, provide support, and ensure proper application of funds.
+ Reporting: Generate reports detailing daily applied cash, unapplied cash, and aging receivables to maintain accurate and transparent financial records.
+ Process Improvement: Identify opportunities to streamline cash application processes and improve efficiency and accuracy within the accounts receivable function.
+ Collaborative Work: Work with the Billing, Accounts Receivable, and Collections teams to support overall cash management processes.
Requirements
Required Skills & Qualifications
+ Education: Associate’s degree in Accounting, Finance, or related field preferred, or equivalent work experience.
+ Experience: Prior experience in cash application, accounts receivable, or general accounting preferred (1-3 years is optimal).
+ Technical Skills:
+ Proficiency in accounting software/ERP systems (e.g., SAP, Oracle, NetSuite, or similar).
+ Strong Microsoft Excel skills (e.g., VLOOKUP, pivot tables) for analysis and reconciliations.
+ Detail-Oriented: Ability to process a high volume of transactions while maintaining accuracy.
+ Analytical Skills: Strong problem-solving skills to research and resolve discrepancies in payments.
+ Communication: Excellent written and verbal communication skills, with the ability to interact professionally with customers and internal teams.
+ Time Management: Proven ability to prioritize tasks and meet tight deadlines in a fast-paced environment.
Preferred Qualifications
+ Experience with high-volume payment processing environments.
+ Knowledge of general accounting principles, including understanding of AR and cash management practices.
+ Familiarity with lockbox processing and automated payment application systems.
