    Position Description

    The Judicial Office Manager plays a vital role in supporting the efficient, professional operation of the Chancery Court Part III judge’s chambers. This position is responsible for managing administrative functions, coordinating legal staff and clerks, overseeing case-related logistics, and ensuring compliance with court procedures and policies. As a key advisor and right hand to the Chancellor, this role will act as a central hub across administrative functions—ensuring alignment on priorities, execution of strategic plans, and a high-functioning leadership cadence.

     

    This is a leadership role that requires exceptional organizational judgment, law firm knowledge or an understanding of the judicial process, and the ability to navigate a partnership-based environment with professionalism and the utmost discretion.

    Typical Duties

    Strategic Operations & Project Management

     

    + Drive strategic planning, workflow optimization, and operational excellence within the judge’s chambers.

    + Oversee and manage complex, cross-functional legal initiatives and projects from inception to completion.

     

    Office Management & Administration

     

    + Oversee daily administrative operations of the judge’s chambers.

    + Manage calendars, scheduling, correspondence, and case management logistics.

    + Coordinate meetings, hearings, and travel arrangements for the judge and legal staff.

    + Prepare executive-level presentations, talking points, and briefing documents for internal and external engagements.

     

    Staff Supervision & Coordination

     

    + Supervise, judicial clerks, interns, and support personnel.

    + Facilitate team meetings, retreats, and goal-setting processes; ensure alignment and follow-through.

    + Promote culture, engagement, and talent development.

    + Track and report on court deliverables and benchmarks.

    + Train and orient new staff; delegate assignments and manage performance expectations.

    + Serve as a liaison between the judicial office and court administration or external agencies.

     

    Court Procedure & Case Support

     

    + Ensure compliance with local, state, and federal court rules and protocols.

    + Monitor the progress of cases and assist in tracking deadlines and case milestones.

    + Coordinate case files, opinions, and legal documentation in both physical and digital formats.

     

    Confidentiality & Record Management

     

    + Maintain confidentiality of judicial deliberations and sensitive case information.

    + Oversee the secure handling, storage, and disposal of legal records and documents.

    + Ensure office technology and systems are functioning effectively, including case tracking software and document databases.

     

    Budgeting & Procurement

     

    + Assist with preparation and monitoring of office budgets, including supplies and travel expenses.

    + Coordinate procurement of office supplies, equipment, and services.

    Process and Technology Optimization

    + Identify and implement process improvements and legal technology tools.

    + Lead efforts to streamline administrative and operational processes within the legal function.

    Minimum Qualifications

    Education: Bachelor’s degree required; JD, MBA, or other relevant advanced degree strongly preferred.

     

    Experience: 7+ years of experience in administrative, legal, professional services, consulting, or strategic operations. Law firm or partnership-model experience highly desirable.

     

    Preferred Experience, Knowledge, Skills, and Abilities

    Skills:

    + Deep understanding of law firm structure, operations, and dynamics.

    + Outstanding project management and organizational skills.

    + Excellent communication and interpersonal abilities; trusted with sensitive information.

    + Proven ability to lead without authority in matrixed or partnership environments.

    + Strong organizational, communication, and leadership skills.

    + Working knowledge of legal terminology and judicial procedures.

    + Proficiency in Microsoft Office Suite and legal/court management systems (e.g., Odyssey, CM/ECF), collaboration tools and legal practice management platforms.

    + High level of discretion, integrity, and professionalism.

    Preferred Attributes:

    + Strong executive presence with the ability to build relationships at all levels.

    + Change management experience, especially in fast-growing or transitioning firms.

    + Demonstrated ability to handle multiple priorities and adapt in a dynamic environment.

    + Familiarity with courtroom operations and judicial protocols.

    Work Environment:

    Standard courthouse/chambers setting. May require occasional modified hours during high caseload periods.
