We’re looking for anAdministrative Coordinator 3 to serve as the first point of contact at the agency in ourChild Support Enforcement OfficeinOuachita Parish, creating a welcoming environment for clients and visitors and providing administrative support that keeps our front office running smoothly.

Minimum Qualifications
Two years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
+ Provide clerical support to the Child Support Enforcement Parish Operations Manager and staff of the Monroe Child Support Enforcement (CSE) Parish Office.
+ Assist with scheduling interviews and advise applicants of any documentation that is needed.
+ Compose and issue correspondence to outside entities.
+ Assist with administrative and receptionist duties when needed, or as assigned.
+ Request USER ID numbers/username for all systems by employees for the Child Support Enforcement Office and DA office(s).
+ Compile and complete monthly, quarterly, semi-annual and annual reports for submittal to higher level agency personnel, as required.
+ Oversee and maintain all records pertinent to administrative functions; including personnel records, employee confidential records, employee driving records, employee disciplinary documentation, payroll records, building lease agreement, property control documents, budget and purchasing records, performance evaluations, etc. These records are maintained in order to meet audit requirements as wells as review and reference.
+ May be required to clear and schedule all IV-A and Medicaid referrals, paper applications and CAFÉ applications within 10 days of receipt.
+ May be required to maintain state vehicle fleet, which includes monthly inspections, reviewing monthly vehicle logs, pay invoices for vehicle maintenance and maintain all vehicle records.
+ May be responsible for DNA scheduling.
+ Prepare interview packets for applicants. Assist in obtaining references.
+ Meet with new employee and explain all personnel issues and obtain their signature on all necessary paperwork required by the Agency and submit to the Regional HR Liaison.
+ Meet with various auditors during audit periods and provides necessary documentation and assistance to facilitate their review. Maintain all records to meet audit requirements.
+ Become proficient in the use of LASES/ACCESS SYSTEMS and CAFÉ as required.
+ Provides general clerical support to all staff by making copies and opening and delivering mail, preparing outgoing mail, operating postage meter and electronic scales, maintaining a supply of mailing labels, receiving and distributing faxes. This may require travel to and from the post office and/or DA’s office.
+ Records, logs and deposits application fees and/or cash payments received in office.
+ Conduct the annual inventory on all property at the Child Support Enforcement Office is accounted for and verifying such on inventory printouts. Initiate adjustments to inventory as needed to reflect changes.
+ Ensure that furniture and equipment is utilized effectively and remains in good state of repair. Notify proper persons should repairs become necessary on state owned equipment. Confer with Property Control manager in state office as need arises.
Position-Specific Details:
Work Location: This vacancy is located in the Ouachita Parish Child Support Enforcement Office in Monroe, LA.
Appointment Type: This position may be filled as a probational appointment or a job appointment that may last up to 48 months. Job appointments may convert to probational appointments. Also, it may be filled as a detail and promoted within 12 months or by promotion of a permanent classified employee.
