Reporting to the Global Talent Acquisition Operations Lead, the Talent Acquisition Coordinator supports the Global Talent Acquisition team by performing key tasks within the recruitment process. This role involves collaborating with candidates, recruiters and hiring managers to facilitate the efficient coordination of interviews, offer development and monitoring background check results. While focused on execution and adherence to established processes, the TA Coordinator plays an essential role in ensuring smooth operations in recruitment efforts. This position requires strong organizational abilities, excellent people skills, and the capability to thrive in a fast-paced environment.
How you will contribute:
+ Facilitate interview scheduling including scheduling in-person and/or virtual interviews, seminars, and debrief meetings including managing logistical aspects such as conference room reservation, catering and expense tracking
+ Provide support to candidates who require travel arrangements in partnership with Takeda's travel agency
+ Occasionally greet and escort candidates during onsite, office-based interviews
+ Observe, identify, recommend, and help drive opportunities for improvement in all aspects of the Recruiting life-cycle
+ Generate candidate offer letters/employment contracts
+ Initiate and manage the pre-employment background check process for selected candidates
+ Send pre-onboarding communications to candidates and hiring managers
+ Promote an excellent candidate experience throughout the interview process
+ Maintain a strong sense of urgency, enthusiasm, and positivity throughout all scheduling interactions
+ Support the execution and compliance of Talent Acquisition processes.
Preferred skills & qualifications:
+ Bachelor's degree, or equivalent combination of education and experience required
+ 1+ year of experience in Talent Acquisition or HR operations; global or matrixed organization experience preferred
+ Prior experience with calendar management and travel coordination
+ Experience coordinating complex scheduling for interviews and meetings
+ Experience in ATS and TA tools; experience with Workday Recruiting strongly preferred
+ Microsoft Office suite skills (Outlook, Excel, etc..)
+ Ability to work in a fast-paced and changing environment
+ Strong organizational skills and excellent attention to detail; ability to multitask and handle a large volume of tasks
+ Ability to work independently and prioritize own work
+ Strong interpersonal skills with ability to build rapport & professional relationships
+ Exceptional written and verbal communication skills
+ Demonstrate agility, resourcefulness, and proactive initiative
Hybrid to Cambridge, with a minimum of 3 days per week in office.
