    The Coordinator sits within the Administration teams Staffing group and supports the Division of Philanthropy’s hiring needs by providing administrative support to the recruitment and new hire experience process. The Coordinator assists the Philanthropy Staffing team recruiters (4) with all administrative aspects of full cycle recruitment, notably supporting interview scheduling and coordination (virtual and in-person). This role works in close collaboration with their direct supervisor, the Director, Staffing, Administration, and collaborates with all members of the team to ensure all goals and KPIs are achieved.

     

    _Internal Title: Coordinator, Administration_

     

    This position is considered hybrid, 2-3 days onsite at 10 Brookline Place, Brookline, MA each week. Some travel, attending events as well as off-site meetings when needed.

    + Operational and Administrative Support: Provides operational and administrative support and coordination in the development and implementation of team and program functions; staffs program meetings including preparing agendas, generating minutes, following up on action items and supporting related program initiatives and projects. Prepares documents such as correspondence, reports, presentations, and packets.

    + Event Support: May oversee or assist with planning and execution of events or programs as assigned; responsibilities may include event administrative tasks, working with external vendors, drafting acknowledgement letters, and writing briefings for Institute leadership. May manage event-specific inboxes as assigned; triage inquiries and provide general problem resolution related to program with appropriate level of urgency. May provide backup participant management support when needed.

    + Program Liaison: Serves as primary point of contact for internal activities and stakeholders, and may serve as a primary contact for stakeholders outside of the Division and DFCI as needed.

    + Financial Reporting: May monitor budget, track expenditure, and handle financial administration projects as it pertains to the program. May be responsible fundraising reports.

    + Collaboration: Work with colleagues across the Division to identify best practices and areas for innovation and growth.

    + Other duties assigned, which may include revenue responsibilities.

    Minimum Education:

    High school diploma or equivalency required. Associate’s/Bachelor’s degree preferred.

    Minimum Experience:

    2 years of administrative experience required.

    License/Certification/Registration:

    None

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    + Communication: Strong written and verbal communication skills.

    + Customer Service: Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.

    + Organizational: Ability to be self-directed and work independently as well as part of a team. Strong ability to organize, prioritize, and follow-through on a variety of projects.

    + Diligence: Must possess the ability to problem solve with minimal guidance, maintain confidentiality, and pay attention to detail.

    + Data: Basic ability analyzing, interpreting and reporting on data with attention to detail and to inform programmatic decisions.

    + Judgement: Ability to apply independently a wide variety of policies/ procedures where specified guidelines may not exist.

    + Computer Literacy: Proficient knowledge of computer applications including Microsoft Office Suite, Zoom, and Adobe.
