Position: Director of Finance | Full-time | Benefits Eligible | 35 hours per week
FLSA Status: Exempt
Hours: Monday through Friday, 8:30 am to 4:30 pm
Department/Location: Main Office |Hauppauge/East Hampton/Riverhead| Eligible for 2 days of remote work per week
PURPOSE:
Plan, implement, manage, and control all day-to-day finance-related activities including accounting, finance, forecasting, strategic planning, cost analysis, insurance and liability, negotiations, and management of investments accounts.
DELEGATION OF AUTHORITY
The Director of Finance in this Agency is delegated the authority, responsibility, and accountability necessary for carrying out assigned duties.
OVERALL RESPONSIBILITIES:
+ Create/maintain/update and communicate policies and procedures to ensure the smooth operation of the finance department; create a positive culture for staff through teamwork, mutual respect, and trust
+ Key member of The Retreat's leadership team; integral role in the development of new projects, grants proposals, and funding requirements
+ Attend and present at board meetings; serve as the Board Finance Committee liaison; prepare agenda, minutes, handouts and recording materials in reference binder for Finance Committee Meetings
+ Direct and monitor all accounting processes: payroll, cash receipts, billing, cash disbursements, and collections
SPECIFIC RESPONSIBILITIES:
Leadership
+ Participate in the recruitment process for all new hires within the finance department; interview candidates
+ Supervise the Senior Contracts Administrator and the finance staff
+ Train all Finance staff in proper processes and procedures; assign work and follow-up to ensure all tasks are completed according to procedures
+ Facilitate and coordinate staff meetings with finance team members
Finance Operations
+ Report numbers and alert the Associate Executive Director of cash flow issues
+ Work with the Associate Executive Director to ensure programmatic success through cost analysis support, compliance with all contractual and programmatic requirements, and ensuring all government regulations are disseminated to appropriate personnel
+ Oversee the management and coordination of all fiscal reporting for the agency including but not limited to statement of activities (profit and loss), balance sheet, and reports to funding agencies
+ Oversee the coordination of activities of independent auditors including ensuring that all A-133 audit issues are resolved and that financial statements are in compliance with U.S. GAAP; coordinate and assist accountants with required tax preparation, shelter cost report, and year end audits
+ Ensure all 403(b) compliance issues are met
+ Develop and maintain system of internal controls to safeguard financial assets of the organization and oversee grants awards and programs
+ Direct preparation of budgets and financial reports, both internally and externally, ensuring compliance with funding sources
+ Monitor banking activities of the agency
+ Ensure the maintenance of accurate records of all business transactions, including but not limited to cash receipts, disbursements, and reconciliation of general ledger accounts
+ Develop and monitor organizational and contractual budgets
+ Review, recommend, and direct agency's insurance programs
Other
+ Audit Payroll reports for accuracy
+ Audit Account Payable for accuracy
+ Manage special projects and lead project teams
+ Participate in agency learning and development opportunities
ORGANIZATIONAL RELATIONSHIPS:
+ Reports to the Associate Executive Director
+ Direct reports: Contracts Administrator, Bookkeeper(s)
QUALIFICATIONS:
Bachelor's degree in Accounting or related field and 10+ years of experience non-profit fund accounting or an equivalent combination of education and experience sufficient to perform the duties of the position. Must have previous experience with grant budgets and grant requirements. 4+ years managing accounting professionals.
Required capabilities:
+ Highly proficient with Microsoft Office Suite including Word and formula-based Excel Spreadsheets
+ DOJ Financial Management Certification
+ Experience with accounting software and strong data processing; Fund EZ is a must and Paychex is a plus
+ Solid understanding of accounting process, knowledge of GAAP, and financial and cash management required
+ Insurance administration experience preferred
+ Excellent oral and written communication skills
+ Well-organized with project management and problem-solving skills
+ Excellent organizational skills and ability to prioritize standard workload
+ Attention to detail and a high level of accuracy is required for this position
Other requirements:
+ Must have a valid New York State Driver's License (Required)
WORKING CONDITIONS:
+ Sits, stands, stoops, squats, walks, and moves intermittently during work hours. Office environment; may sit for prolonged periods.
+ May lift, push or pull 10-20 pounds daily; may push or pull up to 50 pounds occasionally
+ Subject to frequent interruptions
