The Department of Geography is looking for a motivated individual who enjoys program operations to join us as a part-time (20 hours per week), limited term (through March 15, 2026), Program Assistant.
This is a great position, providing an opportunity to become trained and familiar with the UW administrative systems, policies and procedures within a supportive, academic department. This position supports functions such as travel reimbursement, purchasing, departmental event coordination, and office reception in a department with 15 faculty members, 5 staff, 30 graduate students, and more than 300 undergraduate students.
This position reports to the department administrator.
DISTINGUISHING CHARACTERISTICS:
Under general direction, the Program Assistant will perform varied support functions for the department, such as records management, purchasing, arranging travel for guests, customer service, and coordinating different departmental needs such as facilities requests, key needs, classroom access, and more. This person is a key member of the department and will join, and contribute, to a positive working environment.
**DUTIES AND RESPONSIBILITIES** **TYPICAL WORK:** Customer Service: 55%
+ Serve as primary contact for departmental main office.Reimbursement/Travel: 15%
+ Liaise faculty and graduate student reimbursement/travel requests with UW’s Admin Support Team.
+ Coordinate arrangements for program speakers and meetings.
+ Maintain and reconcile the department’s Central Travel Account (CTA) and Procurement Cards.Records/Supply Management: 10%
+ Order and maintain supplies/inventory.
+ Maintain and expunge records in alignment with records retention policies.Office duties: 10%
+ Perform office duties such as distributing mail, sending faxes, answering phones, and making scans or photocopies.
+ Maintain departmental faculty, staff and graduate student rosters.
+ Coordinate all departmental facilities requests/needs.Event Management: 5%
+ Organize departmental events, including alcohol permits, space reservations, catering/food, and more.Donor Letters: 5%
+ Prepare and process gift activity reports; support chair in preparing and sending thank you letters to donors. **MINIMUM REQUIREMENTS**
+ High school graduation or equivalent
+ Two years of clerical experience **CONDITIONS OF EMPLOYMENT**
+ A satisfactory outcome of a criminal background check will be required prior to hire.
+ Work environment: Days, exact schedule to be determined with your needs and requirements but would take place during office hours 8-5pm, Monday through Friday.
