Job Description
Background/IRC Summary

The President’s Office supports the IRC to deliver on its mission through strategic and focused organization-wide priority setting and delivery. The External Relations (ER) department raises revenue and the profile of the IRC, enabling the organization to respond to the world’s worst humanitarian crises and help people to survive and rebuild their lives. Within ER, the Global Board Engagement team is directly responsible for all Board practices, engagement, and strategy for the Board of Directors and Advisors (B&A) for IRC, Inc.
Job Overview
As an assistant dual reporting into the President’s Office and the Global Board Engagement team, you will be responsible for providing high-level administrative and logistical support to advance the work of the President/CEO and IRC’s Global Board. This unique, cross-functional role offers a front-row seat to organizational leadership and governance, requiring exceptional judgment, attention to detail, and the ability to handle critical information with discretion. You will help ensure the President’s Office and IRC’s Global Board run smoothly and efficiently!
Major Responsibilities President’s Office
+ Meeting Preparation: Collect, organize, and assemble briefing materials in both digital and hard copy formats to fully prepare the CEO for all engagements.
+ Email Management: Review and lead on the CEO’s email inbox daily, sorting, prioritizing, and collating incoming emails that require attention, forwarding them to appropriate parties, responding to correspondence on behalf of the CEO, and actioning related tasks.
+ Supply Management: Lead and order supplies for the President’s office team.
+ Expense Reporting: Process expense reports and invoices and prepare CEO travel expense reports.
+ Additional Duties: Perform other administrative and job-related duties as assigned.
Board Engagement
+ Provide centralized support for the Board Engagement team including maintaining accurate contact information, team-wide materials, email distribution lists, RescueNet
+ Work with both external and internal leadership assistants to schedule yearly committee meetings and board meetings, as well as other ad hoc meetings. Attend in person Board meetings quarterly, providing day of logistical support.
+ Attend and take minutes during committee meetings (four committees that each meet three to four times a year). Prepare minutes for external sharing, as well as condense meeting minutes into two-page reports for the Board of Directors’ review.
+ Maintain salesforce records and campaigns for B&A members, including updating individual activities and updating other contact and account data.
+ Expense reporting: handle purchase requests, the team credit card, and process expense reports and invoices
+ Handle logistics for internal and external meetings (reserving conference rooms and setting up IT as needed)
Key Working Relationships
+ Position Reports to: Dual reports into the Executive Assistant in the President’s Office and the Associate Director, Global Board Engagement.
+ Internal: Works closely with departments across the organization. Key stakeholders include the President/CEO; Leadership Board Assistants; the Vice President, USA Philanthropy; Board Engagement and the Global Board Communications Specialist; and other President’s Office team members.
+ External: IRC’s Global Board; others as relevant.
Work / Educational Experience
+ Bachelor's degree preferred, but not required.
+ 3 years of relevant work experience in a fast-paced environment, with gradually increasing responsibilities and a track record of high performance.
+ Prior experience working as an administrative assistant.
+ Experience working in a non-profit business development department a plus.
+ Experience working with high net-worth individuals and/or senior partners a plus.

+ Highly proficient in Microsoft Office suite; strong in database management and Adobe Acrobat Pro experience
+ Experience with Salesforce, Raiser’s Edge, or other door database management system preferred
Working Environment
+ Hybrid work with a minimum of 4 days per week in our NYC headquarters.
Compensation:Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
