Job Description
We are seeking an administrative and communication assistant that can keep operations running and provide presentation support for the AVP of Digital Product. This hybrid role is ideal for a proactive, detail-oriented professional who thrives on organization and has an eye for design and storytelling.
What you will do
Conducts complex administrative office coordination assuring smooth, timely, and efficient office operations.
Handles approvals on behalf of AVP
Manages research, collection, analysis, and compilation of data and information for department reports.
Handles files, reports, and financial records, and manages department record retention.
Defines a high degree of customer service by fielding internal and external inquiries, resolving or redirecting as appropriate.
Ensures efficient workflow and office operations of the department by following established policies and procedures.
Monitors the internal and external department point of contact ensuring concise communication with employees, stakeholders, and members of the senior management.
Prepares complex and comprehensive financial records and files about departmental expenditures, budget balances, investments, payroll, and operations.
Evaluates performance within the department ensuring compliance and continuous improvement.
Assigns staff support and administrative assistance to executive-level, senior management, or senior individual contributors to ensure consistent department operations.
Develop, design, and refine high quality power point presentations for executive meetings, client pitches, and town halls.
Transform complex information into clear visually engaging slides that tell a compelling story
Proofread, edit and ensure consistency in branding tone and messaging across all presentations
Collaborate with subject matter experts to gather content and data for presentations.
For this role you will need Minimum Requirements
2+ years as a Chief of Staff or Assistant to VP
Problem solving and decision making skills
Advanced proficiency in Microsoft PowerPoint with the ability to design clean, professional and visually impactful slides.
Strong Communication skills- able to craft clear messaging and tailor content for different audiences
Highly organized with excellent time management and the ability to juggle multiple projects and deadlines
Proactive- problem solving mindset with attention to detail
Comfortable handling confidential information with discretion
Education
Bachelor's degree preferred
Visual Design/Content background preferred
