Glimpse of the Job
The Administrative Coordinator II, under the general supervision of the Manager for the Chemistry Center of Administrative Support, will coordinate the administrative operations and specialized activities with respect to matters of significance for faculty. Additionally, this position will assist the Department Committee(s) on Awards with getting information on available awards/recognitions for faculty, staff, and students; actively seeking and soliciting nominations; and preparing award nomination packets. The Administrative Coordinator II will also assist the Manager of the Administrative Support Center in overseeing the: management of post-award and budget activities, including authorization of purchase requisitions, invoice approval; preparation of non-technical aspects of progress reports and continuation grant applications; monitoring project financials and other project administration activities in Maestro; and creating and maintaining databases necessary to tack all administrative support activities, files and records.
Opportunities to Contribute:
+ Support the Department of Chemistry faculty in the pursuit of external and internal research funding by providing support for proposal development.
+ Review new award applications for completeness and accuracy.
+ Prepare application packages, routing sheets and cover letters as needed.
+ Provide support for grant initiation for post-award administrative paperwork leading to account establishment.
+ Assist the faculty and research or agency administration staff with budget questions, expenditure projections, and post award concerns.
+ Serve as backup to other staff and assists in records management of sponsored research files, including University retention period regulations.
+ Identify and match grant opportunities with needs/interests of faculty, staff, and/or administrators.
+ Provide data entry support by preparing data, including identification of salary and benefits information to be included in proposals.
+ Maintain records and files including those with confidential information.
+ Communicate with research collaborators on matters regarding coordination of research-related activities.
+ Provide administrative assistance to Committees in charge of faculty hiring, and promotion & tenure activities.
+ Assist in the planning and managing of departmental events of varying sizes.
+ Assist with scheduling, announcements, coordinating travel arrangements, and preparing visit itineraries.
+ Participate in the planning and execution of administration operations and in development/formulation of best practices for smooth workflow of office operations and procedures.
Qualifications:
+ Bachelor’s degree or equivalent combination of education and experience.
+ Three years of experience in office administration.
A well-qualified candidate may also possess:
+ Knowledge of word processing, spreadsheet, database, and presentation applications.
+ Interpersonal and communication skills.
+ Planning and organization skills.
+ Ability to cultivate and maintain professional working relationships.
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
Special Note: This position may require work on nights and weekends.
