    Job Title: Accounts Payable Specialist

     

    Employment Type: Full-Time, Temporary for four (4) days only

     

    Dates: Weds, 7/23 and Thurs, 7/24 Training and Friday 25th and Tues, 29th

     

    Work Hours: 7:00 AM – 3:30 PM (30-minute lunch)

     

    We are seeking a detail-oriented Accounts Payable Specialist with hands-on experience using AvidXchange to support our finance team. The ideal candidate will manage the full cycle of accounts payable processing, ensuring accuracy, timeliness, and effective vendor relationships. This position will involve processing approximately 50 invoices per week and supporting general accounting functions. Our AP process is integrated with Microsoft Dynamics, allowing for seamless invoice processing and payment management.

     

    This is an on-site, full-time position with working hours from 7:00 AM to 3:30 PM, Monday through Friday. The role is temporary for 2-3 weeks, providing crucial support during a transition period.

    eKey Responsibilities:

    + Accounts Payable Processing:

    + Process, code, and enter approximately 50 vendor invoices per week using AvidXchange, ensuring data is fed into Microsoft Dynamics for accurate payment tracking.

    + Perform three-way matching of purchase orders, receipts, and invoices to verify amounts and quantities.

    + Review invoices for proper authorization and resolve discrepancies with internal departments and vendors.

    + Payment Management:

    + Ensure timely payment of vendor invoices via ACH, check, or wire transfer according to company policies.

    + Reconcile vendor statements and respond promptly and professionally to any vendor inquiries.

    + Month-End Close & Reconciliations:

    + Assist with month-end close tasks, including accruals and accounts payable reconciliations within Microsoft Dynamics.

    + Ensure that all AP transactions are recorded accurately and that reconciliations are completed on time.

    + Process Improvement:

    + Participate in process improvement initiatives to enhance efficiency and accuracy in accounts payable operations.

    + Identify potential inefficiencies in AP processes and recommend solutions to streamline workflows.

    Requirements

    Qualifications:

    + Required:

    + 2+ years of accounts payable experience, preferably within a mid-sized organization.

    + Hands-on experience with AvidXchange software for invoice processing and payment management.

    + Proficiency with Microsoft Dynamics or a similar ERP system.

    + Strong understanding of accounts payable processes, general ledger coding, and vendor management.

    + High attention to detail and excellent organizational skills.

    + Proficiency in Microsoft Excel and other Microsoft Office applications.

    + Strong communication and interpersonal skills for working with vendors and internal teams.

    + Ability to prioritize and meet deadlines in a fast-paced, deadline-driven environment.

    + Preferred:

    + Associate’s or Bachelor’s degree in Accounting, Finance, or related field.

    + Experience working with ERP system integrations (especially with AvidXchange and Microsoft Dynamics).
