Description We are looking for a motivated and detail-oriented Project Assistant to join our construction team in Lafayette, California. This Contract-to-Permanent position is ideal for someone who is highly organized, dependable, and eager to contribute to project operations while enhancing their organizational skills. As a key support role, you will assist with administrative, scheduling, and documentation tasks to ensure the smooth execution of construction projects.
Responsibilities:
• Provide direct support to Project Managers and Management Project Assistants in managing active and upcoming construction projects.
• Accurately enter project-related data into Sage accounting software to maintain updated records.
• Assist in creating and maintaining project schedules, ensuring deadlines are met.
• Prepare and process project documentation, including drafting and distributing subcontracts.
• Organize and manage paperwork related to construction projects, ensuring all required documents are completed and submitted on time.
• Collaborate with team members to ensure subcontracts are ready and sent out promptly.
• Handle light accounting tasks, such as tracking expenses and invoices, which will account for 10-15% of the role.
• Maintain clear and effective communication with subcontractors and team members to support project coordination.
• Contribute to the overall efficiency of project operations through proactive administrative support.
• Use Microsoft Word and Excel to create reports and manage project-related documentation. Requirements
• Minimum of 3 years of experience in construction, administrative support, or project assistance.
• Familiarity with Sage software or similar accounting/project management tools is a plus.
• Strong organizational skills with the ability to multitask and prioritize deadlines in a dynamic environment.
• Excellent verbal and written communication skills to facilitate collaboration with team members and subcontractors.
• Proficiency in Microsoft Word and Excel for document preparation and data management.
• Detail-oriented and deadline-driven with a commitment to accuracy and efficiency.
• Reliable, punctual, and eager to grow professionally within the construction industry.
• Previous experience managing timelines and coordinating project documentation is a plus.
