Description
We are seeking an experienced and detail-oriented Payroll Specialist to manage and oversee payroll operations for our organization, which supports a workforce of approximately 1,000 employees. The ideal candidate will have comprehensive knowledge of payroll processes, possess exceptional organizational skills, and bring prior expertise working with ADP Payroll Systems. As a Payroll Specialist, you will help ensure the accurate and timely processing of payroll, compliance with federal and state regulations, and provide excellent support to employees regarding payroll-related inquiries.
Key Responsibilities:
+ Payroll Processing:
+ Process semi-monthly, bi-weekly, or weekly payroll for 1,000 employees accurately and on time using the ADP Workforce Now system or related ADP platforms.
+ Verify timesheets, employee hours, and any deductions/adjustments (e.g., benefits, taxes, garnishments).
+ New Hires, Terminations, and Changes:
+ Ensure timely input and maintenance of employee data, including new hire details, terminations, promotions, and pay rate changes in ADP.
+ Manage and update employee direct deposit information and W-4 forms.
+ Tax Compliance & Reporting:
+ Ensure compliance with all federal, state, and local tax regulations as they relate to payroll.
+ Prepare and file payroll tax reports, including quarterly and annual filings (e.g., 941s, W-2s).
+ Employee Inquiries and Support:
+ Act as the primary point of contact for employees regarding payroll-related inquiries, ensuring quick resolution of issues such as paycheck discrepancies or benefits deductions.
+ Provide guidance on payroll policies and procedures as needed.
+ Audit & Reconciliation:
+ Reconcile payroll-related accounts and assist in preparing year-end activities and audits.
+ Conduct regular internal audits to ensure continued accuracy and compliance.
+ System Maintenance - ADP:
+ Leverage ADP systems for automated processes, reporting, and troubleshooting.
+ Assist in system updates, integrations, and problem resolutions in collaboration with the HRIS or IT team.
+ Additional HR/Accounting Functions:
+ Support finance and HR teams with payroll budgeting, forecasting, and other related administrative tasks.
Requirements
Requirements:
+ Education: Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred (or equivalent work experience).
+ Experience: 3+ years of payroll experience in a mid-sized to large organization; prior experience with companies of 1,000+ employees strongly preferred.
+ Technical Skills: Advanced proficiency working with ADP Workforce Now, ADP Run, or similar payroll systems; strong Microsoft Excel skills (pivot tables, formulas).
+ Knowledge: Deep understanding of federal, state, and local labor laws, tax regulations, and multi-state payroll processes.
+ Detail-Oriented: Strong attention to detail with the ability to manage multiple priorities and meet strict deadlines.
+ Communication Skills: Excellent verbal and written communication skills to effectively support employees and collaborate with internal teams.
Preferred Qualifications:
+ CPP (Certified Payroll Professional) certification.
+ Experience processing payroll in a multi-state environment.
+ Familiarity with benefit deductions, PTO accruals, and 401(k) contributions.
+ Experience integrating ADP with other HRIS or accounting systems.
