Description
We are looking for a detail-oriented Executive Assistant to provide essential administrative and organizational support to our client's team in New York, New York. The ideal candidate will excel in managing schedules, handling office operations, and maintaining an efficient and organized environment. This role requires a proactive individual with strong multitasking abilities and exceptional communication skills.
Responsibilities:
• Coordinate and manage executive calendars, ensuring appointments are scheduled accurately and conflicts are avoided.
• Perform receptionist duties, including greeting visitors and answering phone calls in a friendly and organized manner.
• Oversee the ordering and organization of office supplies, ensuring inventory is maintained and replenished as needed.
• Handle administrative tasks such as filing, document preparation, and correspondence to support daily operations.
• Assist with planning and organizing meetings, including arranging logistics and preparing materials.
• Maintain a tidy and organized office environment to promote productivity and efficiency.
• Act as a liaison between executives and internal or external stakeholders, ensuring effective communication.
• Track and monitor deadlines, ensuring tasks and projects are completed on time.
• Provide support for special projects and assignments as needed.
• Facilitate the smooth operation of day-to-day office activities.
Requirements • Minimum of 2 years of experience in an administrative or executive assistant role.
• Proficiency in calendar management and scheduling tools.
• Strong organizational and multitasking skills.
• Excellent verbal and written communication abilities.
• Familiarity with receptionist duties and customer service practices.
• Ability to handle office supply management and inventory control.
• Detail-oriented with the ability to prioritize tasks effectively.
• Proficiency in office software, including word processing and spreadsheets.
