We are seeking a dedicated Office Manager/Bookkeeper to oversee payroll processing, manage accounts receivable, and handle office management tasks. This role requires someone who is detail-oriented, organized, and able to maintain accurate financial records and administrative functions.
Responsibilities
+ Process bi-weekly/monthly payroll for all employees, ensuring accuracy and compliance with federal, state, and local regulations.
+ Maintain payroll records and employee data in payroll systems.
+ Handle payroll tax filings and year-end reporting.
+ Respond to employee payroll inquiries and resolve discrepancies.
+ Generate and send customer invoices in a timely manner.
+ Monitor aging reports and follow up on overdue accounts.
+ Apply payments and reconcile customer accounts.
+ Coordinate with internal teams to resolve billing issues.
+ Maintain accurate financial records.
+ Manage office supplies, vendor relationships, and general administrative tasks.
+ Answer phones and forward calls, as well as pick up mail when needed.
Essential Skills
+ Proficiency in accounting software, with Great Plains Dynamics preferred.
+ Strong understanding of payroll and accounts receivable best practices.
+ Excellent attention to detail, organizational, and communication skills.
+ Ability to handle sensitive information with confidentiality.
+ Experience in bookkeeping, payroll, and/or office administration for at least 3 years.
Additional Skills & Qualifications
+ Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
+ Experience in a small to mid-sized business environment.
+ Familiarity with CRM or ERP systems.
+ Strong experience in Excel and Microsoft Office.
+ Notary Public certification is a plus.
Work Environment
This is a full-time position requiring 40 hours per week, Monday through Friday, with a half-hour lunch break. The role is based fully in-office, offering some flexibility. The office environment includes a small team of three people, with the desk located near the front. The facility operates as a union environment, but union experience is not required. Benefits include health and dental coverage through UPMC, paid time off, holidays, and life insurance.
Pay and Benefits
The pay range for this position is $25.00 - $26.00/hr.
