    Job Title: Accounts Payable SpecialistJob Description

     

    As an Accounts Payable Specialist, you will manage the AP inbox, filter and route invoices for approval, and prepare payment batches. You will cut checks weekly once batches are approved by accountants, publish analytics, and provide check run summaries to management. Additionally, you will consolidate statements to ensure no invoices are missing, contact vendors for missing documents, and download invoices from vendor websites. You will also keep track of various billing cycles to prevent late payments.

    Responsibilities

    + Manage AP Inbox efficiently.

    + Filter and route invoices to appropriate company for approval.

    + Prepare payment batches once invoices are approved.

    + Cut checks weekly following batch approval by accountants.

    + Publish analytics and provide check run summaries to management.

    + Consolidate statements to ensure no missing invoices.

    + Contact vendors to request missing invoices, W-9, and COI forms.

    + Download invoices from vendor websites.

    + Monitor and track bi-weekly, monthly, quarterly, and yearly bills to avoid late payments.

    Essential Skills

    + 1+ year of Accounts Payable experience OR a Bachelor's Degree in Accounting, Finance, or related field.

    + Basic Microsoft Excel skills (testing required).

    + Experience with processing a high volume of invoices (200+ a week).

    + Comfortability with manual processes.

    Additional Skills & Qualifications

    + Knowledge in specific software or systems is a plus.

    Work Environment

    The role requires working five days onsite with an 8-hour work day and a 30-minute unpaid lunch break. Flex hours are available from 7 am to 9 am, provided a consistent schedule is maintained daily. The office setting features pit-style cubicles, encouraging collaboration. Free parking is provided in a garage adjacent to the office, located three blocks from the Bethesda Metro.

    Pay and Benefits

    The pay range for this position is $20.00 - $26.00/hr.
