Description
This onsite Human Resources Coordinator supports Vestis’ Financial Shared Services (FSS) team to ensure smooth and efficient HR operations. This hourly position will have HR administrative responsibilities and assist with essential functions such as onboarding, training, and payroll. The Human Resources Coordinator acts as the first-level of HR support for teammate queries.
Responsibilities/Essential Functions:
+ Build and maintain positive relationships with business partners including management, key area representatives, and vendors.
+ Manage the payroll process for 250+ teammates.
+ Tracking teammate paid time off, evaluations, attendance, increases, and other areas as needed.
+ Prepare paperwork and schedules for a smooth new-hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience.
+ Handle all administrative tasks for onboarding, new-hire orientations, exits, and data entry in human resources information systems (HRIS)
+ Ensures accuracy and meets compliance guidelines in data entry across varies HR systems.
+ Collaborates with HR manager to review weekly attendance trends for teammates and provides attendance reporting to business partners.
+ Provides first-level HR support to teammates and refers said matters to HR Manager as appropriate.
+ Set up and maintain all confidential teammate files and records in compliance with state, federal, and company requirements; organize hard and soft copies of teammate records.
+ Reinforce the company policies, rules, and procedures to ensure teammates’ safety.
+ Work closely with staffing agencies when hiring contract teammates.
+ Oversee the FSS Teammate Appreciation Group (EAG) ; EAG is a local group that collaborates and organizes engagement activities that are virtual and on-site to promote teammate engagement.
+ Flexibility to support periodic time-sensitive business needs outside the scope of a standard working day or week.
+ Perform other duties as required or assigned which are reasonably within the scope of the activities enumerated above.
Knowledge/Skills/Abilities:
+ Capacity to apply discretion and maintain a high level of confidentiality when handling sensitive information.
+ Experience communicating both orally and in a written format to a wide variety of audiences.
+ Resourceful mindset and strong attention to detail.
+ Knowledge of national laws and regulations related to employment.
+ Aptitude for problem-solving and thorough knowledge of HR procedures and policies.
+ Proficient in Excel, PowerPoint, Word, Outlook, and cloud-based collaboration tools.
+ Advanced knowledge of Human Resources Information Systems (HRIS) and ability to learn new technical systems, when necessary.
+ Knowledge about conflict management.
+ Support an environment of continuous improvement by making suggestions and implementing where possible.
+ High-level customer service skills

Experience/Qualifications:
+ Associate’s degree (or work experience equivalent) in human resources, business, or related field
+ 1-2 years of previous experience in the field of human resources.
