    Classification: Full-time, Non-exempt

     

    Department: Justice Court 2

     

    Reports to: Court Administrator

    Job Summary:

    As the Receptionist/Assistant Clerk for Justice Court, Dept. 2, the employee is primarily responsible for answering the phones, assisting the public, organizing the Court's daily calendar, and providing support for the general functions of the office. Employee must be detail-oriented and able to effectively multi-task a variety of projects. Employee must be able to work under stress, while maintaining a productive level of work. Employee must have good public relation and telephone skills.

     

    This position is supervised by the Court Administrator with direction from the Justice of the Peace. Evaluations are conducted by the designated supervisor and the Justice of the Peace. The job assessment will be in accordance with the terms and conditions of Ravalli County.

    Supervisory Responsibilities:

    • None

    Travel Required:

    • Travel between Ravalli County buildings is required.

    Duties/Responsibilities:

    • Perform general clerical duties, including typing, data entries and filing.

    • Operate window-based computer programming.

    • Effectively organize and prioritize work projects.

    • Answer the telephone and assist individuals at the counter relating to a variety of issues, including citation, criminal, and civil inquiries.

    • Schedule appointments.

    • Apply basic accounting procedures in the processing of payments received for fines, restitution, bonds, and filing fees.

    • Prepare the Court's daily calendar (retrieving files, attaching and completing proper appearance forms).

    • Filing, both alphabetically and numerically.

    • Maintaining sufficient copies of required appearance forms in the Courtroom, arraignment room, and counter.

    • Provide support to Civil, Criminal, and Citation Clerks which may include:

    o Data entry for a variety of Civil documents in a window-based computer program.

    o Closing criminal files, as well as citations. Civil when asked for assistance.

    o Processing new criminal complaints in window-based computer program.

    o Entering traffic citations in window-based computer program.

    o Perform public record checks.

    o Process incoming and out-going mail.

    • Cross training in other areas of the Court including, but not limited to, Courtroom clerking.

    Required Skills/Abilities:

    • Multi-tasking with frequent interruptions

    • Organize and prioritize work assignments

    • Maintain accuracy in a busy work environment

    • Comprehensive reading ability

    • Proficient with computer, printers, typewriter, multi-line telephones, calculator, copy machine, and other routinely used office equipment.

    Required Education and Experience:

    • High school graduate

    • Prior clerical experience in a public setting

    • Prior public relations experience

    • Experience with handling money

    Work Environment:

    • Office setting

    • Courtroom setting

    Physical Requirements:

    • Prolonged periods of sitting at a desk and working on a computer.

    • Must be able to lift up to 20 pounds at a time.
