Description We are looking for a dedicated Administrative Assistant to support our Division Director and assist with various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to manage sensitive information with confidentiality. As a Contract-to-permanent position, this opportunity provides the potential for long-term growth within a dynamic office environment in Oklahoma City, Oklahoma.
Responsibilities:
• Coordinate and manage incoming correspondence, reports, and forms, ensuring proper distribution as directed.
• Prepare routine letters and other communications on behalf of the Division Director.
• Record and maintain meeting minutes for Advisory Committee sessions.
• Input and manage data within systems such as Captain, Excel spreadsheets, and other databases.
• Assist with generating reports and grant documentation for funding sources.
• Screen and direct incoming phone calls with professionalism.
• Organize and maintain departmental files related to fiscal matters, human resources, and general operations.
• Provide client support for division programs, including housing counseling and rental inquiries.
• Advertise rental properties and maintain tenant payment records and expense logs.
• Ensure strict confidentiality in all departmental activities and documentation. Requirements • High School diploma or equivalent, with at least four years of experience in office management or administrative roles.
• Proficiency in using word processing, spreadsheet, and database software.
• Strong command of grammar, spelling, and punctuation.
• Excellent organizational skills, including time management and multitasking.
• Ability to interact effectively with individuals at varying levels, demonstrating tact and professionalism.
• Capacity to lift and transport file boxes up to 30 pounds and work in a seated position for extended periods.
• Must be comfortable working in an office environment with frequent computer use.
