Description
We are looking for a detail-oriented Administrative Assistant to join our team in Barberton, Ohio, within the construction industry. This is a long-term contract to permanent position, ideal for someone who thrives in a fast-paced environment and excels at maintaining organization and efficiency. The role involves a variety of administrative tasks that support project management and operational workflows.
Responsibilities:
• Generate weekly reports, including data on submittals and project close-outs.
• Update and maintain the submittal log with details such as project names, dates, and contractor information, ensuring accurate record-keeping.
• Scan and file test certificates in both digital and physical formats, organizing them for easy access.
• Perform daily filing duties, organizing permits, submittals, and transmittals by specific job.
• Prepare and ship packages daily, ensuring timely delivery and proper documentation.
• Assist in creating and revising Operations & Maintenance Manuals, updating progress reports as necessary.
• Manage blueprint room functions, including feeding paper rolls, replacing ink, and ensuring machines are operational.
• Handle heavy materials such as blueprints and supplies, adhering to safety guidelines and lifting requirements up to 50 lbs.
• Travel to job sites as needed, maintaining compliance with safety standards.
• Coordinate with designers and contractors to fulfill submittal requests, preparing materials in the requested format for delivery.
Requirements • Proven experience in administrative assistance, preferably within a construction or contractor setting.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Proficiency in data entry and document management systems.
• Excellent communication skills for interacting with team members, contractors, and designers.
• Familiarity with handling heavy materials and operating office equipment, such as blueprint machines.
• Capable of traveling to job sites when required.
• Ability to lift and manage materials weighing up to 50 lbs.
