This position is located in the Graham District Office in the Division 7 Construction Office. This position will perform a variety of office assistant duties in support of administrative programs or technical operations. Duties include typing, filing, copying, answering telephone and directing calls. Good communication skills are necessary. Ability to interpret and apply policies and procedures. Administer payroll/time entry in SAP skill system; personnel and other office duties such as typing correspondence, filling and handling of incoming and outgoing mail and housemoves. Must have knowledge of office equipment and related computer technology (Microsoft windows, Excel, Access, PowerPoint, Share Point, Ariba and SAP.) Process inventory, purchase orders, accounts payable through SAP and Ariba. This position will be required to process certified payroll in Share Point. Ability to present information clearly and concisely in oral and written form to communicate with the public, DOT employees and governmental officials. Ability to utilize office equipment and other technology (software and systems) to meet work needs. Ability to facilitate the flow of work and coordinate office support activities with other staff. Candidates should possess excellent composition skills, attention to detail, and consistency with data entry and correspondence.
Knowledge, Skills and Abilities / Competencies
Management prefers the following:
+ Customer service experience, including resolving customer issues
+ Experience with Microsoft Office programs such as Access, Word and Excel
+ Experience completing and maintaining records and reports
+ Experience interpreting and/or explaining policies, procedures, and laws
+ Experience with letter writing, using correct spelling, punctuation and proofreading
Additional Expectations:
Must be able to work in an inside environment including being exposed to significant sitting for long periods of time. Must be able to lift 25 lbs and perform tasks that involve stooping and bending, particularly for filing purposes. Selected applicant will be expected to legally operate a motor vehicle.
Minimum Education and Experience Requirements
High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
