Responsibilities Job Summary The Spa Office Coordinator serves as the first point of contact for all Essential Touch Spa and Boutique customers and promotes a welcoming atmosphere that enhances the quality of service and care standards offered to clients, patients, and family members. In addition, the Spa Coordinator performs a variety of cross-functional clerical and patient support duties to include telephone, registration of patients and clients, scheduling appointments, clerical administrative duties and/or data entry duties specific to the department functions. Essential Functions Assists with guest service, cashiering and displaying and pricing merchandise, maintaining financial records and provides sales assistance to clients/patients. Performs a variety of scheduling and registration functions such as scheduling clients/patients for initial spa and follow-up appointments, tracks no-shows and cancelations and provides schedules to staff. Prepares and obtains forms for signature and creates electronic record(s) in the software system. Performs and manages registration, contracts and renewal of Breast pumps. Provides patients with the breast pump rental program and fee information, processes the pump rental contracts, provides direction on the use of the parts and pump equipment. Maintains and organizes the rental program contracts, calls and follows up with patients regarding the due date and payment of the Breast pump, cleans and sanitizes returned Breast Pumps. Assist with financial accountabilities such as prepares weekly bank deposit and batch receipts, balances deposit with posted batches, maintains balanced cash drawer, sorts all credit card transactions, scans all batch documents and deposit slips to accounting department and deposits cash and deposit slip to security in a timely manner. Performs other duties as assigned.Education High School Diploma or GED - RequiredExperience 1 year Office, customer service and/or retail experience - RequiredLicenses and Certifications
