Position Description
The Metro Public Health Department (MPHD) is seeking an Office Support Specialist 2 for the Health Access Division and the Prevention and Wellness Division MPHD. Health Access Division includes Presumptive Eligibility, Project Access Nashville and Community Health Assessment and Navigation in Tennessee programs. The Prevention and Wellness Division includes Community Health Assessment and Improvement, Quality Improvement, Health Promotion, Cardiovascular and Diabetes Prevention, Ryan White, and Tobacco Use Prevention programs.

Typical Duties
+ Performs all clerical duties as needed to maintain efficiency of daily operations of the Presumptive Eligibility and Project Access Nashville programs.
+ Greets walk-in visitors, engages clients in the preliminary forms-completion process, completes registration in the Patient Tracking and Billing Management and Information System (PTBMIS), and responds to telephone inquiries from outside customers. These duties include handling requests for information as well as documenting complaints in a professional manner.
+ Maintains program filing and reports; maintains inventories for all Presumptive Eligibility and Project Access Nashville forms, supplies and equipment; and scans information sheets and other data into appropriate systems.
+ Assists in maintenance of records regarding services performed and individuals assisted, including the registration of patient information obtained during initial client encounters by using, the Electronic Health Records system, PTBMIS, and Project Access Nashville applications.
+ Maintains familiarity with all updates to the safety net system of care for the uninsured and under-insured.
+ Provides follow-up calls to Tennessee Department of Health delinquent newborn screening referrals.
+ Provides administrative and clerical support to the Prevention and Wellness team.
+ Serves as the referral source for CHANT and Project Access Nashville.
+ Maintains the designated phone number for Health Access.
+ Manages incoming referrals through the CHANT designated email address.
+ Documents referrals received via phone and email and provide CHANT information to the Data Entry Specialist for assignment in REDCap.
+ Notifies the Care Coordinator/Team Lead via email to inform them that the records have been received from medical providers.
+ Performs other administrative work in support of personnel and departmental functions as needed.
+ Prepares, attends and transcribes meeting agendas as needed and prepares talking points.
+ Drafts reports and replies to correspondence as directed.
Minimum Qualifications
+ High school diploma.
+ Five ( 5 ) years of increasingly responsible clerical/administrative experience.

Valid driver’s license, use of personal vehicle, and maintenance of valid personal vehicle insurance as required by Tennessee Law
Preferred Experience, Knowledge, Skills, and Abilities
+ Proficient with time management, communication, and organizational skills.
+ Bilingual in Spanish.
+ Familiarity with TennCare and Marketplace insurance coverage.
