Position Description
The Environmental Health team at MPHD is seeking a highly organized, hardworking and self-motivated Office Support Rep 3. The ideal candidate will report to a manager but will have minimal direct supervision. Therefore, he or she needs to have superb time management and organization skills and be able to accept direction from multiple team members who are in need of administrative assistance. The candidate will be comfortable with general office operations, including electronic correspondence, filing, typing reports and distributing mail. The candidate will be one of the faces of our organization, and therefore should have good people and communication skills in order to best work with our clients. The work involves all phases and functions of a customer service center.

Typical Duties
+ Engages in office interactions, walk-in visitors, and telephone inquiries from outside customers. These duties include greeting and directing guests, answering phone inquiries, and handling requests or complaints in a professional manner.
+ Administers basic bookkeeping and tracking of financial transactions, which includes but are not limited to receiving, logging, depositing and posting the divisions revenue.
+ Regularly works with Microsoft Office and in-house systems: Axweb, Cityworks, Healthspace and Versa.
+ Maintains division filing and reports; maintains inventory for all Divisions forms, supplies and equipment; and scans information sheets, inspection reports and other data into Axweb system.
+ Mails certified letters to establishments concerning complaints and/or penalty assessments.
+ Documents complaints received from the public concerning facilities and food establishments by entering data into service complaint database.
Minimum Qualifications
+ High School Diploma
+ Three (3) years of clerical/administrative experience.
Valid driver’s license, use of personal vehicle, and maintenance of valid personal vehicle insurance as required by Tennessee Law.
Preferred Experience, Knowledge, Skills, and Abilities
Bilingual (English/Spanish).
Experience with MPHD Environmental Health’s in-house systems-Axweb, Cityworks, Healthspace
