    Summary: Dedicated and meticulous manager responsible for collecting, monitoring, and maintaining accurate data for the SMOC Child Care & Head Start program. Oversees and manages all functions of the Front Desk. Proactively ensures all center information is current and effectively communicates updates to staff. Provides consistent support to the Center Directors by assisting with projects, generating reports, and managing various computer-based tasks with efficiency and attention to detail. Builds and maintains positive relationships with children, families, and community members through professional and compassionate interactions

    Primary Responsibilities:

    + Administrative duties: such as collecting paperwork as needed, data entry, running reports, attendance, uploading requirements to our SharePoint Data Files.

    + Ensure the center is compliant with Dept. of Early Education (EEC) regulations and Head Start Standards.

    + Responsible for the Collection of monthly requirements from the Center team and uploading into the Data Files. (Such as observation, staff meetings)

    + Collection of Volunteer sheets monthly and any donations.

    + Maintain compliance with program/department, agency and/or funder requirements, as well as SMOC policies and procedures.

    + Assist with paperwork and the enrollment of children at the center.

    + Works with other Managers in the Division to ensure uniformity and proper communication.

    + Able to follow directions and complete tasks in a timely manner.

    + Maintain up to date Child & Staff Checklists.

    + Complete File Checks in classrooms.

    + Flexible schedule- able to work a rotating 8-hour shift between 7am-6pm Monday-Friday.

    + Oversees the Front desk and covers as needed.

    + Work with, collaborate with & support the Center Director and Assistant Center Director

    + Attend and participate in team meetings and professional development as requested.

    + Maintain confidentiality of families, employee and agency information in accordance with federal and state laws and funder requirements.

    + Work well in a team atmosphere, but able to work independently.

    + Other duties as assigned.

    Knowledge and Skill Requirements:

    + Planning, organization and problem solving skills a must.

    + Enjoy working in a fast paced enviroenment and able to multi-task.

    + Strong computer skills.

    + Interacting with others in a non-judgemental, helpful and courteous manner.

    + Communicating information effectively, both in written and oral form.

    + Working effectively as a member of a team.

    + Accepting of new ideas, changes, directions and feedback in a flexible, positive manner.

    + High school diploma is a must and college preferred.

    + Bilingual staff is preferred.

    Organizational Relationship:

    + Directly reports to Center Director indirectly to Asst. Center Director.

    Physical Requirement:

    + Physical exam by physician within one year of start and every other year thereafter.

    + CPR& First Aid Certification within 60 days.

    + Be able to lift up to 50lbs

     

    Remote Work Option: Remote work is permissible in some positions at SMOC depending on the key functions and responsibilities. The Administrative Manager position is eligible to work from home 0% of the week in scheduling coordination with the center director.

    Working Conditions:

    As part of the responsibilities of this position, the Administrative Manager will have direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services. A successful background check is required.

     

    7am-6pm Variable; Monday-Friday
