Job Description
BAE Systems is seeking a highly organized and enthusiastic Functional Administrative Support Specialist to plan and lead in a variety of tasks at the South Nashua facility and coordinate events for all NH/MA regional sites.
The selected individual will contribute to the Site Executive, Site Deputies, and Site Team Management in performance of their site responsibilities, to enhance credibility among employees and to help make BAE Systems an enjoyable and safe place to work. This role requires a high degree of tact, initiative, accuracy and judgment, a thorough understanding of business practices and procedures and the ability to interface well with all levels of management.
Because this role involves a combination of collaborative/in-person and independent work, it will take the form of a hybrid work format, with time split between working onsite and remotely.
As the NHQ Functional Support Specialist, you will:
Support the South Nashua Site Executive with:
+ Daily review of Website and TVs for updates on events and site activities such as safety inspections, building updates, etc.
+ Monitor the Site Exec email box for questions and/or responses to events
+ Attend Weekly tag ups with Site Exec, their deputies, and NHQ Facilities Planner
+ Participate in Monthly Meetings with functional leads from Security, Safety, HR, and Facilities
+ Assist with allocation of site budget, work with Site Team Leaders and Finance.
+ Lead the Employee Engagement Committee
+ Monthly Meetings with NHQ Committee
+ Monthly Meetings Regional Events Committee
+ Coordinate with event leads to ensure successful local and regional events
+ Create and send event notices to NHQ personnel
+ Work with Community Investments on Charity Events. This includes, but is not limited to scheduling, planning, executing and working at the charity events.
+ Review, post and promote the quarterly site newsletter
+ Support building repairs and upgrades by working with Facilities Planning Specialist submitting Work Orders for items such as:
+ Plumbing & HVAC
+ Outages
+ Office cleaning / refresh
+ Signage
+ Engage with appropriate personnel as needed to support safety inspections by notifying BAE employees of upcoming activities.
+ Mentor and advise site committee members
+ Contribute to the site wellness program initiatives. This includes, but is not limited to, scheduling, planning, executing wellness events and working with wellness instructors and wellness vendors.
Support all NH/MA Regional Sites with:
+ Coordinate, facilitate, and provide support for various regional meetings and events.
+ Contribute to the regional employee events. This includes, but is not limited to, scheduling, planning and executing large employee functions and family related events.
+ Responsible for allocation of regional sites budget
+ Promote regional events using various communication platforms
+ Contribute to the regional wellness program initiatives. Coordinating, approving and distributing funds to the regional BAE Systems sport related leagues.
+ Perform additional duties and responsibilities as needed
Required Education, Experience, & Skills
+ Bachelor s degree and 4 years of relevant experience or equivalent experience
+ Communicate effectively both orally and in writing
+ Works under general direction from supervision
+ Exhibit sound interpersonal skills involving interfacing, coordinating, and negotiating with company personnel, customers, and suppliers
+ Budget management
+ Utilize computer skills to prepare appropriate reports and documents using Microsoft Office Suite
+ Make decisions using sound judgement while complying with policies, procedures, appropriate principles and applicable state and federal laws and regulations
+ Excellent organizational and follow through skills
+ Detail oriented
Preferred Education, Experience, & Skills
+ Experience with Microsoft 365/Teams
+ Experience with facilities work order system
+ Experience with SHE incident reporting
+ Experience with planning large events
Pay Information
Full-Time Salary Range: $81156 - $137964
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
