The Project Manager - Events supports execution of audio-visual events by coordinating with sales, operations, and on-site teams. Applies foundational industry knowledge to align client needs with internal processes, improving communication, controlling costs, and supporting successful event delivery. This position is ideal for someone with experience across AV disciplines.

     

    This position will support our Audio Visual and Event Technology team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week based out of Grapevine, TX.

     

    Essential Duties & Responsibilities

     

    + Assists with site surveys, operational planning, and implementation of assigned events

    + Coordinates with operations teams to complete production documentation and define labor and equipment needs

    + Participates in on-site operations, supporting a variety of roles as needed (e.g., Breakout Coordinator, Project Manager, Facilitator, AV Tech)

    + Supports logistics including labor scheduling, trucking coordination, and production timelines

    + Communicates event plans and objectives to on-site staff and vendors

    + Maintains contact with on-site teams to track changes and updates

    + Participates in pre-production meetings and post-show debriefs

    + Assists with review of labor usage, purchase orders, and other show documentation for billing accuracy

    + Completes post-show reporting and administrative tasks

    + Assists with internal projects and process improvements across the operations team

    + Supports leadership and project managers on special initiatives

    + Performs other duties as assigned

     

    Education & Experience

     

    + Bachelor’s degree preferred, High School Diploma or Equivalent with relevant work experience required

    + Minimum of 3 years of industry experience, with familiarity across multiple AV departments

    + Experience supporting or executing events in a live production environment

    + Working knowledge of event planning, AV systems, and show site coordination

    + Ability to take direction and execute in dynamic, fast-paced environments

    + Strong time management and organizational skills

    + Comfortable adapting to a range of roles on-site and supporting where needed

    + Proficient in Microsoft Office; familiarity with CAD or Vectorworks is a plus

    + Excellent communication and problem-solving skills

    Travel Requirements

    Travel 50% to 75%
