Position Summary: The Purchasing Administrative Assistant will work within the Purchasing Department and report to the Project Purchasing Manager. This position supports the Purchasing Team onsite with scheduling meetings, data entry of various reports, and general project support. The Purchasing Administrative Assistant will also be responsible for setting up new project files and completion of miscellaneous forms as requested. This position will be fully in-office near Boise, ID.
. Essential Responsibilities:
+ Assist the Purchasing Team to help schedule meetings, data entry support with project supports and general help needs.
+ Ongoing maintenance of project files within the server.
+ Provide department filing and scanning as needed.
+ Provide assistance to Project Purchasing Manager with various tasks.
+ Participate on occasion in some business errands within walking distance/bus service for delivery and/or pick-up of special projects and for lunch deliveries.
+ All other administrative duties as assigned.
Qualifications:
Position Related Skills
+ Proficiency with contracts and templates, utilizing tools such as Microsoft Word and Bluebeam, along with a strong working knowledge of Windows, Word, Excel, PowerPoint, Outlook, and general computer network operations.
+ Exceptional written and verbal communication skills, including fast and accurate typing, strong grammar, spelling and formatting knowledge.
+ The ability to build and maintain positive interpersonal relationships, with internal and external customers.
+ Highly organized with excellent time-management skills, capable of prioritizing multiple tasks while managing frequent interruptions and meeting deadlines under pressure.
+ Flexibility and adaptability to shifting priorities and demands, with a willingness to cross-train with other department assistants and serve as a backup when needed.
+ Ability to work independently, make sound decisions, and follow through on assignments with minimal supervision.
+ Professional demeanor and appearance coupled with a commitment to maintaining a high standard of work quality.
+ Willingness to take on new challenges, ensuring accuracy and efficiency while contributing to a collaborative team environment.
Professional Experience and Education
+ High School Diploma or GED required.
+ A minimum of two (2) years’ experience working in a formal office environment required.
+ Previous Administrative Assistant experience preferred.
Physical and Mental Requirements:
+ Standing/Walking/Sitting: Workday is combination of standing, walking and sitting.
+ Must be able to climb stairs: 30% of day.
+ Hands/Arms: Constant use of hands/fingers for mouse/keyboard/computer use.
+ Sight: Visual acuity in near, mid, and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination.
+ Hearing: Sufficient to hear conversational levels in person and over the telephone.
+ Speech: Sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone.
+ Must be able to work independently, make decisions, and follow through on all assignments.
+ Must use creativity, independent judgment, and organizational and problem-solving skills to determine best method to accomplish desired results.
