This role is expected to work 40 hours per week on a seasonal basis, estimated to last from August 2025 into January 2026. Work will be performed primarily from our Jacksonville home office.
SUMMARY
The Operations Assistant is responsible for supporting the operations team in coordinating and executing logistics services to meet customer needs. This role involves assisting with shipment documentation, tracking deliveries, and maintaining effective communication with service providers and customers to ensure timely and accurate service.
Essential Duties and Responsibilities:
+ Assist in the creation and management of shipment documentation
+ Monitor and track shipment status to ensure delivery deadlines are met
+ Update internal systems with relevant notes and changes, including weights, dates, and address modifications
+ Communicate effectively with service providers and customers via phone and email regarding order status
+ Coordinate with all involved parties to locate or expedite missing, misrouted, or delayed shipments
+ Send required documentation and paperwork to service providers in a timely manner
+ Perform general administrative tasks

Education & Experience:
Associates degree preferred. Minimum one (1) year experience in related administrative support, customer service, or transportation/logistics support role preferred; or equivalent combination of education and experience.
Requirements:
Able to work full-time hours during required season (August - January)
Knowledge, Skills, and Abilities:
+ Excellent customer service and communication skills (both verbal and written)
+ Ability to perform basic mathematical calculations, including proportions, percentages, area, and volume
+ Ability to interpret instructions presented in written, oral, diagram, or schedule form
+ Strong multitasking and organizational skills to manage daily responsibilities and meet deadlines
+ Exceptional problem-solving and analytical abilities
+ Ability to articulate ideas clearly and motivate team engagement
+ Self-motivated with a strong sense of urgency and the ability to work independently
+ Flexibility to prioritize and re-prioritize tasks as situations evolve throughout the workday
+ Strong documentation, planning, and organizational skills

Physical Activity Level:
